The Role
We are seeking a full time Executive Assistant to join our team in NYC. This person will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making for three executives. You will provide high-level administrative support by periodically preparing decks and reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, and scheduling meetings.
Additionally, the ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism is crucial to this role. You should demonstrate experience in developing relationships in a highly matrixed organization as well as experience in handling the administrative and executive support related tasks with minimal supervision.
ResponsibilitiesProvide dedicated administrative support to multiple senior executives, ensuring exceptional stakeholder support service.Own, efficiently manage, and prioritize a high-volume, complex calendar, scheduling and rescheduling meetings while considering dependencies and potential conflicts and competing priorities.Prepare and submit accurate expense reports, reconcile corporate credit cards, and manage department invoices.Assist with the creation and preparation of meeting and presentation materials - slides, proposals, onboarding decksServe as a thought partner and trusted advisor to the Executive and their teams.Provide comprehensive administrative support to the Executives including travel domestic and international travel arrangements, expense reports, and internal and external meeting preparationFacilitate efficient communication and collaboration between executives, clients, and internal teams.Anticipate and proactively address the needs of supported executives, building strong working relationships based on trust and understanding.Contribute to a collaborative and inclusive team culture, leveraging emotional intelligence to build strong relationships.Thrive in a fast-paced environment, managing multiple priorities and meeting tight deadlines with resilience and adaptability.Demonstrate strong problem-solving abilities to address ambiguous challenges and implement practical solutions.Assisting with research and special projects as neededQualifications
Minimum of 5-7 years of progressive administrative experience in a fast-paced, deadline-driven environmentProven experience supporting senior executivesExceptional organizational and time management skillsStrong attention to detail and problem-solving abilitiesProven ability to prioritize tasks and manage multiple projects simultaneouslyExcellent written and verbal communication skillsAdvanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)Ability to maintain confidentiality and discretionDemonstrated ability to work effectively under pressure and meet tight deadlinesFlexibility and adaptability to changing prioritiesBachelor's degree strongly preferred

Compensation
The base hourly rate for this position is in the range of $35.00-40.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
