About the Role
The Sr. Executive Assistant ensures smooth functioning of activities and processes, acting as a liaison for one or more C-level Executives (i.e., CEO, Global CFO, President and/or EVP) in a fast-paced, dynamic environment. The Sr. Executive Assistant performs a variety of core administrative duties and organizational leadership support functions with authority to respond and/or make commitments on behalf of the Executive. Performs all functions with an advanced level of professionalism, discretion, and confidentiality.
What You'll Do
Create written materials that are organized, professional and audience-appropriate. This includes all correspondence, presentations and reports.Manage travel including meeting scheduling, preparation of background materials, and all logistical arrangements including, but not limited to flights, hotel accommodations, transportation, dinner reservations, meeting rooms, guest speakers, AV equipment, group activities and itinerary creation.Manage Executive calendar and rearrange/reschedule as needs arise and be able to prioritize meetings accordinglyManage board and/or other senior executive ; meeting logistics including development of an agenda, internal and external communications, coordinate presentation materials, travel arrangements, expense spend and preparation & recording of meeting minutes.Process email, which includes responding on the Executive(s) behalf where appropriate and offering insight or additional context when necessary. ; May include reading all incoming email and determining priority of action on behalf of the Executive. Drafts responses where appropriate to expediate and facilitate a timely response on behalf of Executive. Handle all incoming mail whether external or via inner office delivery.Handle multiple demands and ad hoc issues efficiently while adjusting priorities and expectations that may arise outside of core business hours.Liaise with other departments to obtain any needed signatures or approvals from the C-level executive(s) for required documentation and contracts by preparing those items for review and ensuring they flow through the office in a timely manner. Support other leaders on Executive's team (SVPs, CVPs, and VPs) as needed.Process/manage expenses whether incoming invoices, travel card, or purchasing cardAttend and take minutes at all staff meetings, this includes EVP, SVP, and Strategy SessionsWhat We're Looking For
>5 to 8 Years of relevant work experienceAble to execute instructions and to request clarification when needed.Possesses strong data entry skills and able to perform basic mathematical calculations.Able to recognize and attend to important details with accuracy and efficiency.Able to communicate clearly and convey necessary information.Ability to create and edit documents and presentations with extreme attention to details making sure font, placement, grammar, punctuation, etc. are correct.Able to interact effectively with all levels of management and maintain confidentiality of sensitive information.Able to negotiate skillfully, promote/sell ideas persuasively, and close transactions with mutually beneficial results.Be positive, proactive, and flexible with the ability to be sensitive to the needs, concerns, and feelings of others.Possesses strong leadership skills with a willingness to lead, create new ideas, and be assertive.Possesses strong organizational and time management skills, driving tasks to completion.Able to constructively work under stress and pressure when faced with high workloads and deadlines.Ability to embrace change and adapt to changing circumstances.Able to maintain and promote social, ethical, and organizational standards in conducting internal and external business activities.Able to quickly learn new systems and technology and use relevant computer system applications at an advanced level.Able to demonstrate complex problem solving, critical thinking, and decision-making.Education and Certification
