Executive Assistant to High Level Executive and Philanthropist

Our client, a luxury boutique real estate firm is seeking an Executive Assistant to support one of their Partners.The company has developed some of the most prestigious properties in the country and this is an exciting time to join!This is working in their NYC Headquarters four days a week (Fridays remote).This is an amazing opportunity to be a true right hand, while helping with meetings, projects, and philanthropic organizations.
Responsibilities:
Provide administrative support to Partner, including all aspects of business and personal workSchedule and organize meetings and all appointments, including agendas, calls, and ordering meals.Plan and executive all travel arrangements including hotels, flights, transfers, cars, etc.Help streamline systems and maintain database, spreadsheets, files, etc.Liaise with philanthropic organizations and assist with events including invitations, venues, permits, budgets, etc.Assist with marketing strategy and meeting materialsManage strict deadlines in busy, ever changing environment.Serve as point of contact for home vendors, contractors, and building management.Prepare, process, and submit expense reports.Responsible for project management, including keeping track of projects, running meetings.Ability to track various projects simultaneously and handle tasks required by the Project Managers or the Executive.Experience in managing projects from inception to completion.Assist with ad hoc projects as needed.Required Qualifications:
Minimum 8+ years of administrative experience, ideally working for a C-level executiveBachelor's degree strongly preferred/required.Extremely polished, forward-facing, and professional.Excellent interpersonal and communication skills (both verbal and written).Demonstrate the ability to handle multiple tasks with little or no supervision.Ability to keep executive on task and be able to pull in and out of meetings.Excellent technology/software skills a must.Advanced user of Microsoft Office Suite, Photoshop, Adobe PDF or Bluebeam, In-Design or PowerPoint.Social Media savvy
