We are seeking a detail-oriented and proactive Legal Administrative Assistant to join our team. The successful candidate will provide essential administrative support to our attorneys, paralegals, legal secretaries, Office Administration Director, business development team, and other administrative staff, ensuring the smooth and efficient operation of the Firm. The Legal Administrative Assistant reports to the Legal Support Services Supervisor, will be onsite three (3) days per week, and is located in our Washington, DC office.The hourly range for the position of Legal Administrative Assistant at Nossaman is approximately $23.07 to $33.33 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $45,000 and $65,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.Key Responsibilities:Draft and/or edit routine correspondence and miscellaneous forms/documentsPrepare and submit attorney expense reports and vendor invoices via the web-based Chrome River applicationPlan and schedule onsite and offsite meetings, schedule depositions, and arrange conference/video callsAssist with attorney travel arrangements, including hotel and airline reservationsReserve conference rooms, resolve potential scheduling conflicts, and coordinate conference room logistics and meal ordering for onsite meetingsComplete conference registration paperwork, attorney memberships, and sponsorship formsOrganize and maintain file system, file correspondence, and ensure proper indexing and filing of legal documents and other records in office filing systemReview pre-bills prior to submission to clients as requested by attorneys and legal secretaries, perform requested edits, and coordinate with billing and finance teams as appropriateFacilitate the printing, copying, scanning, and distribution of documents in coordination with other Firm resources and policiesEffectively and diplomatically interact with attorneys and staff across all officesTrack and prioritize projects efficiently and sensibly while providing timely follow-through on assigned responsibilities and tasksMaintain strict confidentiality at all times, consistent with the Firm’s policies and proceduresOther administrative tasks as assignedExperience and Qualifications:High School Diploma or GED equivalent required1-2 years of experience as an Administrative Assistant, with preference towards experience working in a legal or professional services firmTechnology skills commensurate with modern office work, including working knowledge of Microsoft Outlook, PowerPoint, Word, and ExcelAbility to multi-task, prioritize, and work efficientlyAbility to handle multiple demands and shift priorities with easeAbility to work independently and be a self-starter, demonstrating an energetic attitudeExcellent grammar, spelling, and proofreading skillsAbility to listen, communicate (written and verbal), and follow up with personnel at all levels of the FirmFlexibility to meet Firm and client demands by working after-hours and overtime as neededAbility to perform at high levels in a fast-paced, changing work environmentAbility to anticipate work needs and follow through with minimum directionKnowledge of legal terminology, legal and court procedures is preferredTyping of 50-60+ wpmThe successful candidate must be proactive, customer service-oriented, energetic, and reliable.
