As a key member of our front-of-house staff, you will be the first point of contact for pet owners and play a vital role in ensuring smooth operations in our fast-paced, patient-focused environment. The
Weekday Morning Veterinary Receptionist
will be responsible for greeting clients, scheduling appointments, processing payments, and assisting with a variety of administrative tasks, all while maintaining a compassionate and professional demeanor. Key ResponsibilitiesProvide Outstanding Client Service :Serve as the first point of contact for clients entering our facility, ensuring all interactions are handled with professionalism, empathy, and care. Greet clients, answer questions, and provide clear information about services, treatments, and procedures.Patient and Client Interaction :Ensure a welcoming and supportive environment for patients and clients alike. Handle inquiries, concerns, and provide ongoing updates on patient status during visits or hospitalizations.Scheduling & Appointment Coordination :Manage scheduling for appointments, procedures, and consultations for veterinarians and specialty staff. Coordinate with clients to find appropriate appointment times, ensuring efficient use of the team's time and resources.Phone & Email Management :Handle incoming phone calls with professionalism, answering questions, scheduling appointments, and redirecting inquiries as needed. Address client concerns promptly, providing clear and accurate information.Medical History Collection :Obtain all necessary patient information, including medical history, immunization status, medications, and current health status to assist veterinarians and technicians in providing high-quality care.Payment Processing & Billing :Process patient invoices, collect payments, and provide receipts. Manage financial transactions in a timely manner, ensuring all details are accurate and that clients understand their financial obligations.Inventory Management :Assist with inventory control by keeping track of stock levels for medications, over-the-counter products, food, and supplies. Fill prescriptions, food requests, and other items as per the veterinarian's instructions.Communication with Medical Team :Act as a liaison between clients and the veterinary team, ensuring seamless communication regarding patient status, treatment plans, and special instructions.Data Entry & Record Keeping :Accurately input data into the practice management system, including patient information, treatment plans, medical records, and financial details. Ensure all data is recorded in compliance with legal and hospital standards.Office & Facility Organization :Maintain cleanliness and organization of the front desk area, waiting rooms, and administrative spaces. Ensure that all areas are tidy and welcoming for clients and patients.Other Duties :Perform additional tasks as assigned by management or as hospital policies and procedures evolve. This may include helping with patient flow, assisting with client communication, or other administrative functions.Skills, Knowledge & Expertise
High School Diploma or Equivalent : Required, additional veterinary-related coursework or certifications are a plus.Veterinary Background : Previous experience in a veterinary clinic or animal care environment is strongly preferred. Familiarity with veterinary terminology, medical procedures, and care protocols is highly beneficial.Excellent Communication Skills : Ability to interact effectively with clients, veterinarians, and staff members, both in person and over the phone. Strong verbal and written communication skills are essential.Customer Service Expertise : Proven experience in delivering excellent customer service, ideally in a veterinary or healthcare setting, with a focus on empathy, active listening, and problem-solving.Computer Proficiency : Ability to accurately enter data into veterinary practice management software, process payments, and manage records. Experience with veterinary-specific software is a plus.Multitasking & Time Management : The ability to handle a high volume of tasks simultaneously in a busy environment, with a strong focus on organization and attention to detail.Ability to Lift and Move Patients : Ability to lift up to 30-50 pounds and assist in moving animals when necessary.Weekend and Holiday Availability : While the role primarily focuses on weekdays, flexibility to cover weekend or holiday shifts as needed is required.Strong Interpersonal Skills : Must be approachable, compassionate, and able to build positive relationships with clients, patients, and staff.Job Benefits
