Job description:
The Executive Assistant will play a critical role in supporting a senior member of our Executive Office, ensuring seamless operations, and providing best-in-class service to support both the team and individuals they work with. With a proactive mindset and strong organizational skills, the ideal candidate will thrive in a fast-paced environment, effectively managing multiple tasks and priorities with professionalism and discretion. They are responsible for providing a seamless foundation of administration that allows teams to function, as well as working closely to proactively support and anticipate needs and understand priorities.
The Executive Assistant will oversee assigned projects or activities, coordinate daily schedules/calendars, prepare for meetings, and manage travel. The ideal candidate will function under tight deadlines in a fast-paced, highly demanding work environment while exhibiting excellent customer service and professionalism in all interactions. The Executive Assistant is also responsible for building relationships with counterparts at client organizations and across the Teneo network.
Responsibilities:Proactively manage the executive's inboxes and calendar, prioritizing correspondence and managing communications between them and executives, employees, and external contacts.Coordinate internal and external meetings, including project meetings, and ensure necessary logistics are arranged, across time zones.Provide direct support with client interactions, team coordination, and administrative tasks to ensure timely project delivery.Anticipate upcoming events and meetings, preparing necessary materials and maintaining a long-term perspective on organizational goals.Serve as a point of contact, handling communications and interactions with the utmost professionalism and confidentiality.Manage complex global travel arrangements and itineraries efficiently.Undertake additional administrative responsibilities such as filing, document management, maintaining records, and reconciling travel & expense reports, invoices, etc.Handle operational aspects such as project setup and proposal preparation.Maintain confidentiality and handle business-sensitive information with discretion.Embrace agile working practices and support team members during absences or busy periods.Lead by example, fostering teamwork, collaboration, and a positive office environment.Foster positive relationships with counterparts at client offices and build knowledge of key clients.Manage miscellaneous personal requests.Support beyond traditional working hours and during travel or international assignments.Be flexible on days/times in the New York office to ensure they are supported effectively on-site, understanding this may at times mean more than the minimum on-site weekly attendance.Qualifications
Minimum of 5+ years of experience in a corporate environment providing administrative support for senior-level executivesExcellent written and oral communication skills are necessaryProficiency in Microsoft Office, including Word, Excel, and PowerPointAbility to anticipate needs and proactively address potential issues with sound judgment and discretionDetail-oriented with a commitment to delivering high-quality, client ready workAbility to adapt to changing priorities and thrive in a fast-paced environmentCommitment to learning and professional developmentExperience using Robin, Concur, NetSuite, a plus

Base Salary Range
$100,000 - $120,000 (compensation for this role will depend on several factors, including a candidate's qualifications, skills, competencies, and experience that may fall outside of the range listed).
