Office Manager Below you will find the Job Description for iOffice Workspace. We are an executive suites company that provide private offices, virtual offices, shared workspaces and conference rooms to a wide range of businesses. We are looking for a professional and friendly Office Manager to join our team. The successful candidate will be responsible for greeting visitors, answering incoming calls, providing administrative support, and managing all front desk operations. This position requires excellent customer service skills, the ability to multitask and prioritize tasks, and a commitment to providing a welcoming environment for all visitors. The ideal candidate should also have a professional attitude and be able to handle confidential information with discretion. Responsibilities: • Greet visitors and direct them to the appropriate personnel • Answer incoming calls using a multi-line phone system and route them to the appropriate personnel • Schedule of appointments and meetings for clients • Filling out intake forms and taking messages as needed • Maintain a neat and organized reception area • Provide basic information about the company to visitors and callers • Handle incoming mail and deliveries • Setting up new client services • Perform other clerical receptionist duties such as filing, photocopying, faxing etc. • Light cleaning duties Qualifications: • Experience in customer service setting, preferably six months’ receptionist experience in a professional office setting. • Strong customer service skills • Experience with multi-line phone system • Knowledge of Yardi is a plus • Experience with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint etc.) • Exceptional multi-tasker • Excellent communication skills - written and verbal • Energetic, positive, and friendly • Organized and meticulous • Reliable • Bilingual is a plus • Must Be able to pass a drug test Schedule: Monday- Friday, 8:00 AM - 4:30 PM Working Conditions & Physical Requirements: The position entails extended periods of sitting in front of a computer monitor. When necessary, there will be interruptions and job duties that require the person to temporarily leave the workstation to handle tasks such as sorting and delivering mail, resetting conference rooms and offices, light cleaning duties. The ability to sit for prolonged periods and focus on a computer screen is essential. The person must be able to lift up to 25 lbs.
