What you do: The Senior Administrative Assistant provides administrative support to our Senior Leadership Group and staff to help fulfill the division's strategic programs for the enterprise. You will operate with a customer service mindset while partnering with multiple levels of the organization. You will have a demonstrated ability to effortlessly adapt to change and display grace and confidence under pressure. You will report to the VP, Investment Operations and support leadership within the organization in Allianz Investment Management (AIM). • Manage the administrative operations for the department. • Coordinate external visitors for the department including building access, Wi-Fi, and meeting spaces. • Ensure leader's time is aligned with their priorities through demonstrated understanding of the core business and by using strategic prioritization strategies. This includes maintaining calendars, scheduling appointments and meetings, creating organization tools in Microsoft Outlook to navigate competing calendar priorities and coordinating travel arrangements and accommodations. • Support the onboarding and deboarding of employees and interns to AIM. • Coordinate AIM town halls, lunch and learns, and other events including reserving space, compiling presentations, ordering catering, and technology requests. • Maintain learning pathways and links to allow AIM to track and meet educational goals. • Partner with AIM leadership to understand employee engagement results and support programs, newsletters, and events to support engagement. • Manage and organize files, records, and documents including processing and tracking expenses and invoices, which may include handling confidential information, displaying professional discretion and trust with leadership. • Support department meetings, events and special projects, including order catering and supplies, reserving outside meeting venues, compiling presentations, creating learning links and surveys. What you bring: • 4 years of experience required: Strong collaboration and communication skills, both written and verbal • Four-year degree required or equivalent work experience.
