Our client, a Boston-based corporate law firm, is seeking an experienced and detail-oriented IP Docketing Specialist to join their Intellectual Property team. The ideal candidate will be responsible for maintaining and managing all aspects of intellectual property (IP) docketing, ensuring compliance with legal deadlines and requirements. This role is critical to the success of our IP operations and demands precision, organization, and a deep understanding of IP prosecution and maintenance processes. Key Responsibilities: Maintain and update the IP docketing system to track deadlines for patent and trademark filings, renewals, oppositions, and litigation. Ensure all critical dates and deadlines are accurately captured and communicated to relevant legal teams and stakeholders. Input IP data into the docketing system and verify accuracy of entries by cross-referencing official documents and records. Ensure compliance with U.S. and international IP regulations and guidelines, keeping up to date with changes in procedural rules. Review incoming correspondence, including office actions and filing receipts, and update records accordingly. Generate and distribute docket reports and reminders to attorneys, paralegals, and other stakeholders. Work closely with attorneys, paralegals, and external agents to ensure timely filings and responses. Assist in maintaining and improving the docketing software to optimize workflow and functionality. Participate in regular audits of the docketing system to ensure data integrity and compliance with firm or company policies. Qualifications: Bachelor’s degree preferred, or equivalent experience in legal or IP-related work. Minimum of 3 years of experience in IP docketing, preferably within a law firm or corporate legal department. Proficiency in IP docketing software (e.g., FoundationIP, Anaqua, CPI) and strong skills in Microsoft Office Suite. Comprehensive understanding of U.S. and international patent and trademark procedures. High degree of accuracy and attention to detail. Excellent written and verbal communication skills. Strong ability to manage multiple deadlines and prioritize tasks effectively. Ability to troubleshoot and resolve docketing issues promptly. Experience with legal research databases and tools. Familiarity with electronic filing systems such as USPTO and WIPO portals. Paralegal certification or training in intellectual property law preferred.
