The Company's latest product, Polar ID, is a groundbreaking polarizing camera that leverages the unique characteristics of metasurfaces to enable secure and affordable face unlock for all smartphones. The Position As the Office Manager & Executive Assistant to the CEO, you will be a central anchor in the day-to-day operations of the company. This position will perform various administrative and office support activities for the senior management team. The successful candidate will need a wide range of experience, must be able to multitask in a fast-paced environment and have a passion for people. What you'll do Oversee day-to-day operations in the office; serving as the primary contact for the office. You will greet visitors, answer incoming calls, and manage the general company inbox for email correspondence. Manage office supplies and coordinate logistics for in-house meetings. Assist with mailing and shipments companywide (requires knowledge of FedEx and UPS portals). Maintain, file, and track various general and legal documents (NDAs, vendor agreements, evaluation agreements, etc). Maintain executive calendar and provide travel management for the CEO and Senior Leadership team as requested. Schedule meetings, both in-person and via Zoom, and assist with meeting preparation as requested. Assist Human Resources with coordination for employee recruitment, interview scheduling, onboarding coordination and orientation needs as requested by hiring manager(s) and IT. Work closely with Finance on expense reports and vendor relationships. Be the main point of contact with building management regarding facilities maintenance. Maintain communication with vendors, customers and building management, to ensure company needs are prioritized and recognized. Execute and spearhead company events and outings including coordination with HR and Marketing when appropriate. Brainstorm, lead, and execute company events and outings. Assist with other administrative duties as needed. What you'll need 5 years of prior administrative experience required. Proficiency in computer and software skills (Microsoft Office 365 Suite, DocuSign, Smartsheet). Exceptional verbal and written communication skills. Strong organizational skills, ability to multi-task and problem-solve. Positive, supportive attitude with a willingness to adapt and encourage others. Support the team and be a helpful resource to all. Flexible and able to think quickly in a fast-paced environment. Trustworthy and reliable - sensitivity to confidential matters will be required. Desire and willingness to learn and grow in knowledge and position. Must be eligible to work in the US without sponsorship or restriction.
