We are seeking an Executive Assistant to support our leading employer in the Seacoast NH market. This incumbent will be required to support the CEO in Both Boston and Seacoast locations. The Executive Assistant (EA) to the CEO provides high-level administrative support to the CEO by managing schedules, coordinating communications, and facilitating the smooth running of business operations. The role requires discretion, attention to detail, and the ability to manage multiple tasks efficiently. The EA will also assist in strategic initiatives and manage key projects as needed. Key Responsibilities: Executive Support: Manage the CEO’s calendar, appointments, and travel arrangements. Screen and prioritize emails, calls, and other communication on behalf of the CEO. Prepare and organize meeting agendas, take minutes, and follow up on action items. Draft, review, and send correspondence, including reports, presentations, and memos. Act as a liaison between the CEO and senior management, clients, partners, and stakeholders. Serve as the first point of contact for the CEO, including managing their social and professional contacts. Coordinate internal and external communications, ensuring prompt and accurate responses. Handle confidential and sensitive information with the highest level of integrity. Coordinate and track the progress of projects and key business initiatives for the CEO. Assist in the preparation of presentations, reports, and proposals for internal and external audiences. Ensure smooth day-to-day operations, troubleshooting issues and implementing solutions as needed. Help streamline CEO's business processes and improve time management. Plan and organize business events, meetings, and conferences attended by the CEO. Coordinate logistics, including travel, accommodations, and on-site arrangements. Assist in organizing board meetings, retreats, and other executive-level events. Support the CEO in strategic planning, tracking business goals, and ensuring timely execution of initiatives. Handle special projects as assigned, providing administrative support to ensure goals are met. Maintain confidentiality and professionalism when handling sensitive information. Ensure proper handling and filing of documents in line with company policy. Required Skills and Qualifications: Proven experience as an executive assistant or in another relevant administrative role. Exceptional organizational and multitasking abilities. Strong written and verbal communication skills. Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity software. Ability to handle confidential information with discretion. Strong problem-solving and decision-making capabilities. Ability to work independently and as part of a team. High attention to detail and accuracy. Excellent time management and priority-setting skills. This role may require occasional evening and weekend work, as well as travel.
