JOB SUMMARY Stacy and Witbeck is a general contractor that specializes in building Heavy Civil Transportation Infrastructure. We are seeking a proactive mid-to-senior level administrative professional to help manage our Regional Salt Lake City Office. Ideally the candidate will have experience working in a fast-paced corporate environment and strong acumen of handling tasks such as reception duties, general office/facility management and event planning and logistics. This is a great opportunity for candidates who are self-starters, can work independently and enjoy busy office atmospheres and collaborating with many departments. COMPENSATION: $65k - $70k ESSENTIAL DUTIES AND RESPONSIBILITIES Office Support Reception duties such as answering, routing phone calls, taking messages as needed. Kitchen maintenance, including keeping pantry items stocked, cleanliness, loading/unloading dishwasher and weekly fridge cleaning, throwing out old food etc. Mail distribution and sending/receiving packages from USPS, UPS, FedEx and Costco. Ordering office and kitchen supplies as needed. Upkeep of kitchens and multiple conference rooms and shared workspaces. Ensuring all supplies are stocked and rooms are kept tidy including IT equipment and cords. Assist HR with managing inventory and ordering company swag items and shipping new hire packages. Holiday office decorating. Office key fob management. Coding office invoices and processing for payment. Maintaining current business licensing and local association memberships. Coordinate with IT dept for IT equipment needed for shared spaces. Training Center & Event Support Assist with reserving conference rooms, bid room and training center spaces as directed. Assist with event configuration. Arranging tables, chairs and IT equipment etc. Assist with ordering any supplies needed for events. Assist with Food & Beverage needs. Placing catering orders, F&B set up etc. Managing any vendors associated with training or other corporate events. Assist with hotel arrangements for visiting guests. Assist with planning the Annual Holiday Party. Facilities Maintenance Maintain all office equipment such as copiers, printer, coffee machines etc.Call in for service or repairs if needed. Manage all facility vendors and services such as landscaping company, janitorial service, window cleaning, pest control, carpet cleaning, fire alarm testing & fire extinguisher inspections, roof debris cleaning, additional trash pickups, etc. Conduct regular inspections and report any unsatisfactory performances to vendors. Regular inspection of the outside building areas, landscaping, patio, parking lot, trash receptacle area etc Point of contact for building emergencies, flood, power outages, security alarm point contact etc. May be required to report onsite for emergencies at any time. General understanding of HVAC system, plumbing systems, electrical and lighting systems. Manage thermostat controls and programing.
