ATG seeks a highly organized and proactive Executive Assistant to provide critical support to the Managing Director of Capital Formation. Our client is a private investment firm founded in 2001. In this role, you will ensure the Managing Director can operate efficiently by managing their calendar, coordinating meetings, handling correspondence, and arranging travel. Your ability to maintain confidentiality and prioritize tasks will help facilitate the smooth operation of the Director's office and contribute to the overall success of the firm. Executive Assistant This position will be responsible for all aspects of supporting the Managing Director of Capital Formation, enabling him to bring maximum success to the firm Responsibilities : Calendar Management – Coordinate meetings and schedules with internal and external parties, including setting up meetings (in-person or virtual), facilitating invites, providing necessary materials in advance, and handling follow-up actions. Dynamic Prioritization—Use an intuitive understanding of the business’s goals and the executive’s preferences to make real-time adjustments. This includes anticipating changes, assessing urgency, and implementing a smooth reorganization as priorities shift. Strategic Thinking and Initiative – Ability to prioritize, discern strategic relevance in materials, and work with discretion, always maintaining confidentiality. Optimize the Managing Director's time by working closely with the Capital Formation and Investor Relations Team and prioritizing key outcomes based on urgency and importance Administer project management tool s like Asana and Salesforce to support team efficiency and collaboration Plan and coordinate travel arrangement s for the Managing Director, including airfare, hotels, transportation, meals, and related meetings Manage administrative tasks such as completing expense reports, managing receipts, and handling other necessary filings Success as an Executive Assistant will be measured by your : Ability to efficiently optimize the Managing Director's time through effective calendar and schedule management Ability to coordinate complex travel and accurately handle administrative tasks such as timely expense reports Proficiency with project management tools such as Asana and Salesforce to enhance team efficiency Meticulous attention to detail in organizing meetings and promptly managing action items Requirements: At least 5 years serving as an Executive Assistant, Personal Assistant, or similar role Experience with Asana, Smartsheet, Salesforce, or other project management software is strongly preferred Exceptional organizational and written communication skills and exacting attention to detail Constant focus on planning ahead and for the “what if” factor Team player with a strong work ethic Ability to work in a fast-paced environment under strict deadlines, and to learn quickly/ adapt on the job Strong technology skills with proficiency in Microsoft Office, particularly Outlook, as well as Word and Excel Compensation Structure: Base salary will be commensurate with experience Bonus opportunity will be tied to effectiveness measured by a periodic goal-setting process, with the amount of opportunity depending on value added to the firm and firm profitability Participation in our matching 401k plan We offer a generous PTO plan, along with excellent benefits portfolio
