Job Title : Human Resources Assistant / Office Manager Status : Nonexempt Schedule : Full-time, Onsite Monday – Friday, 8:30 a.m. – 5:30 p.m. Overview Are you a proactive and detail-oriented professional looking to join a dynamic team and expand your HR career? We’re seeking an organized Human Resources Assistant/Office Manager with a strong administrative focus, a passion for process improvement, and a knack for multitasking in a fast-paced, corporate setting. This role is essential to keeping daily operations and HR activities running smoothly, offering an opportunity to grow in HR functions while managing the overall office environment. Join us as we support multiple entities within our growing investment portfolio, working directly with the VP of HR, HR Manager and HR Generalist to ensure a seamless experience for all. Key Responsibilities Office Management Oversee corporate office operations, coordinating policies and procedures to maintain a productive, efficient, and organized work environment. Manage office vendors, equipment, supplies, and facilities, including liaising with the Property Manager for building and parking coordination. Prepare the annual department budget and monitor expenses, handling petty cash and monthly reports. Ensure planning and execution of office-wide events such as benefits enrollment, holiday parties, and employee recognition events. Recruitment Support Assist with full-cycle recruitment, from pre-search approvals to onboarding, including sourcing, screening, and coordinating interview schedules. Work with external search firms and handle background checks and candidate clearances to support company hiring needs as growth plans unfold. HRIS & Benefits Administration Provide ADP Workforce Now support, troubleshooting issues and maintaining updated employee data for seamless HRIS operations. Support team members with benefits-related inquiries and assist with open enrollment, record management, and benefits communications. Policy Compliance & Employee Support Stay up-to-date on federal, state, and local employment laws to support policy development, compliance, and staff inquiries. Act as a primary point of contact for employee questions and orientation to company policies, procedures, and handbooks. Onboarding & Offboarding Oversee the onboarding process to ensure a positive experience for new hires, facilitating smooth transitions with all necessary documentation and orientation. Manage offboarding processes, maintaining records and ensuring compliance with regulatory requirements. Training and Development Collaborate with HR leadership on training and development programs to enhance employee engagement and career growth opportunities. Qualifications Experience : 2 years of Human Resources experience or 5 years in an administrative/executive assistant role; HRIS experience (ADP Workforce Now) preferred. Education : Bachelor’s Degree in Human Resources, Business, or related field preferred. Skills : Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat; exceptional attention to detail, time management, and organizational skills.
