This role will be based full time in our new, state of the art facility located in Burlington, MA. POSITION SUMMARY The Receptionist/Office Coordinator role will be situated at the Front Desk acting as primary point of contact for all visitors at Vericel’s new state of the art location. This role will provide exceptional customer service to employees, leaders, outside visitors, vendors, and clients on administrative needs as required. Also provide administrative support for staff located in 25BSD and partner closely with the facilities organization. Take and direct calls and messages to the appropriate departments and maintain electronic signage within building. DUTIES AND RESPONSIBILITIES Oversee all front desk activities, greet visitors to the site with a friendly and professional demeanor and notify staff of arrivals. Work with leader to ensure there is always coverage at the front desk. Collaborate with building safety and security staff to provide employees appropriate guidance or direct visitors upon arrival. Answer Vericel’s main phone line and cell number to direct callers to appropriate departments. Serve as main point of contact to employees for facility related administrative needs, etc. Point of contact for ‘FDA’ conference room. Maintain the facility communications via monitors throughout the facility with direction from leader. Field emergency calls from within the site according to established protocol in collaboration with EHS. Sort and distribute incoming mail or packages as needed. Work with facilities team to manage kitchen and office supplies. Proactively manage proper inventory and costs accordingly. Coordinate and manage sitewide or large food deliveries to building. Support administrative requirements related to employee engagement events at that location. Monitor and respond to ‘reception’ email requests. Support HR creating a seamless candidate and/or new hire experience, via interview activities, onboarding processes, first day guidance, name tags, badges, etc. as needed. Other administrative responsibilities as required. Basic Qualifications: College degree preferred plus 1 years of administrative experience OR High school diploma plus 4 years of administrative experience. Experience with Microsoft Office 365. Excellent customer service and written/verbal communication skills. Experience in a professional office environment. Demonstrated use of discretion, professionalism and courtesy. Preferred Education and Experience: Experience working with Concur to schedule travel and/or manage expense reports. Experience with coordinating large group or companywide events/meetings. WORKING CONDITIONS AND PHYSICAL DEMANDS May be required to sit for an extended period of time. May be required to occasionally lift up to 25 pounds.
