Our client, a boutique venture capital firm is seeking an Executive Assistant/Office Manager to join their team. Job Title : Executive Assistant / Office Manager Location : Santa Monica, onsite Salary : $100,000 - $120,000 Hours : 9:00 am - 5:00 pm with flexibility for nights and weekends as needed Job Description: Executive Assistant/Office Manager We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager and Executive Assistant. This essential role ensures that daily operations run smoothly and that communication flows efficiently across the firm. The position requires a reliable on-site presence, with flexibility for occasional evening or weekend responsibilities as needed. Primary Responsibilities Coordinate and manage intricate scheduling for executives, arranging meetings with key stakeholders including investors and partners. Develop, implement, and monitor office protocols to optimize daily workflows and enhance operational effectiveness. Handle all aspects of travel coordination, including booking flights, lodging, and local transportation, as well as processing expense reports in a timely manner. Serve as the central communication liaison, managing both internal and external correspondence while maintaining confidentiality. Prepare executives for meetings by providing comprehensive agendas and materials in advance. Oversee office supply inventory, vendor relationships, and ensure all equipment is in optimal working condition. Organize and maintain both digital and physical filing systems to ensure easy access to important documents. Execute the logistics for meetings and events, from securing venues to handling communications with attendees. Assist with data collection and analysis, helping to create reports and presentations. Take on additional tasks and projects as needed to support the team. Qualifications A minimum of 4 years of experience in an executive assistant role, preferably within a finance or venture capital environment. Bachelor’s degree in business administration or a related field is required. Strong time-management skills with the ability to prioritize tasks effectively. Proficiency with Microsoft Office Suite and relevant software applications. Excellent communication skills, both written and verbal. Strong sense of discretion and confidentiality. Adaptability to thrive in a dynamic, fast-paced environment. Professional attitude and strong interpersonal skills.
