We are offering an exciting opportunity for a Director of Administration and Support to join our team in Boca Raton, Florida. In this role, you will be crucial in overseeing the administration and support functions within our company, particularly in the financial services sector. You will be responsible for providing administrative support to the Executive Leadership Team and other office personnel. In this role you will be: Responsibilities: Provide high-level administrative support to executives and office personnel, ensuring smooth day-to-day operations. Coordinate employee onboarding, including arranging and scheduling orientation and training sessions. Maintain and update internal databases with employee information and administer personnel records throughout the employee lifecycle. Oversee the management of employee handbooks, develop guidelines, FAQs, and other resources to support employees’ understanding of company policies. Evaluate organizational needs and implement proactive changes to improve processes and employee support. Process and review employee expense reimbursements for accuracy and adherence to policy, ensuring timely approvals. Communicate effectively across departments to ensure a collaborative and supportive work environment. Maintain precise and up-to-date documentation and records. Prepare internal communications and update policies as needed to ensure clarity and consistency across the organization. Support scheduling and logistical needs for select executives and manage tasks related to new hires, including workspace setup and necessary documentation. Lead efforts to promote employee engagement and maintain a positive work environment. Organize and lead company events, managing all aspects of event planning and execution. Proactively arrange meetings, events, and travel plans, with close attention to executive preferences and schedules. Lead and oversee various office-related projects as they arise to enhance team efficiency and morale. Qualifications: Minimum of eight (8) years’ experience in administrative support roles, preferably supporting executives. Demonstrated experience in employee onboarding, training coordination, and maintaining HR-related documentation. Strong ability to assess organizational needs and provide actionable recommendations for improvement. Expertise in handling expense reimbursement processes and ensuring policy compliance. Excellent communication skills with a collaborative approach to cross-functional work. Detail-oriented with a commitment to accuracy in maintaining records and documentation. Proven ability to drive employee engagement and contribute to a supportive work culture. Experience in event planning and coordinating logistics for meetings and travel. Flexibility and adaptability to lead projects and support various office initiatives.
