Job Description Jefferson Consulting Group is seeking a motivated and organized Project Management Support Specialist to support the Project Manager and Deputy Project Manager of the Technical, Administrative, Programmatic Support (TAPS) contract. TAPS is a $63 million, 5-year contract providing long- and short-term assistance to USAID's Bureau for Resilience, Environment, and Food Security (REFS). The ideal candidate will have a strong background in staff management, administrative support, and a keen understanding of project management systems and processes.
This role will be fully remote.

Key Responsibilities:
Staff Management: Provide personnel management for a large portfolio of embedded staff; conduct 90-day and annual performance reviews in partnership with USAID clients; make recommendations for staff pay and promotions; manage security processing, onboarding, orientation, and offboarding.
SharePoint Management: Organize and maintain SharePoint folders on project site, ensuring all documentation is up to date, easily accessible, and well-structured to support project needs.
Recruiting: Assist in recruitment activities including facilitating intake meetings to understand client needs; developing and publishing position descriptions; screening, interviewing, and proposing candidates; facilitating client meetings; negotiating salary; and collaborating with Jefferson's HR team to initiate onboarding.
Support Project Planning: Assist with all client reporting on an as-needed basis. Help compile and edit bi-annual reports, annual work plans, and staffing reports to ensure alignment with project goals.
Task Coordination: Organize and maintain the TAPS Planner to ensure all action items are scheduled, tracked, and followed up on.
Administrative Support: Provide general administrative support, including calendar management, travel arrangements, budgets, and logistical coordination for virtual meetings and events.
Required Skills:
Bachelor's degree in human resources, business administration, or other social science fields.
A minimum of three years' experience required in personnel management, operations, and talent acquisition.
Demonstrated experience managing junior- to mid-level professionals including managing performance issues and participating in performance management.
Proficient in Microsoft SharePoint and Office Suite (Word, Excel, PowerPoint).
Knowledge of applicant tracking software such as Agile.
Experience coaching employees to help them develop specific skills, improve performance, or achieve certain goals within their role or career.
Ability to work independently and collaboratively in a fully remote environment.
Strong attention to detail with a meticulous approach to managing information and documentation.
Desired Skills:
Experience working with USAID processes, policies, and procedures preferred.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Excellent written and verbal communication skills.
Strong interpersonal and relationship-building skills to work effectively with diverse teams.
