Currently seeking an Administrative Assistant to join the team at a non-profit in Portland, OR!

Job Description:

Provides key administrative and project support to the fundraising team. Work will include: meeting scheduling and preparation, database entry and reporting, mailing project management, donor engagement tracking and support and other essential tasks in support of the team’s fundraising activities.

  • Maintains team leadership calendars by planning and scheduling meetings, conferences, travel, and project/work time; determines importance of internal and external meeting requests and prioritizes accordingly
  • Assists with meeting preparedness, including drafting agendas, gathering necessary support/briefing materials, taking and distributing notes and tracking follow-up steps
  • Enter development officer activity into donor database; pull reports and/or compile data as necessary
  • Interface with leaders, board members, volunteers and other key stakeholders which may include donors, prospects, and faculty
  • Support the management of external advisory committees
  • Respond to internal and external inquiries, routing messages in an appropriate and timely manner
  • Provide general support with expense reimbursements and invoice processing
  • Assist with events including tracking RSVPs, reserving spaces, attending as staff support, etc.
  • Oversee or collaborate on special initiatives and administrative tasks as assigned

Skills & Qualifications:

  • 2+ years of administrative assistant experience
  • Strong project management and organizational skills; ability to independently manage and prioritize multiple projects and tasks
  • Exceptional attention to detail
  • Strong written communications skills; ability to draft agendas, emails or other professional documents
  • Strong customer service skills; ability to collaborate effectively with internal and external partners
