Location / Schedule:

Monday through Friday between Redwood City and Palo Alto 9AM - 5PM. There is an option for Hybrid flexibility.


Description:

Administrative Assistant to the Senior Executive Assistant

Key Responsibilities:

·        Work alongside the Senior EA with:

·        The organization of expenses and travel arrangements.

·        PR’s and PO’s

·        The maintenance of electronic filing systems, ensuring accuracy and organization.

·        The coordination of meetings and events, including arranging catering and logistics.

·        Overseeing the expense process including vendor onboarding and the set up of purchase requisitions.

·        Special projects and the documentation of process.

Qualifications:

·        High school diploma or equivalent required; additional education or training in administration is preferred.

·        Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint and SharePoint)

·        Proficient in the use of Oracle and Concur helpful but not necessary.

·        Strong organizational skills with the ability to prioritize tasks and meet deadlines.

·        Excellent verbal and written communication skills, including proper grammar and spelling

·        Attention to detail and accuracy in all tasks, with a commitment to maintaining confidentiality.

·        Professional demeanor, positive attitude, and strong work ethic.

·        Experience with office equipment, such as printers, copiers, and fax machines.

·        Familiarity with basic accounting principles and experience with accounting software is a plus – helpful but not necessary .
