Key Responsibilities
- General Office Support: Manage office operations, including handling incoming calls, emails, and correspondence, greeting visitors, and maintaining a clean, organized work environment.
- Scheduling & Coordination: Schedule and coordinate meetings, appointments, and events; manage calendars and prepare meeting agendas and minutes as needed.
- Document Management: Organize and maintain files, records, and databases, ensuring accuracy and confidentiality.
- Communication & Correspondence: Prepare and distribute internal communications and announcements; draft and format external correspondence and reports.
- Expense & Invoice Tracking: Assist with processing expenses and maintaining accurate records for billing and financial tracking.
- Project Support: Provide administrative assistance on projects, including research, data entry, and basic report preparation.
- Supply Management: Monitor and order office supplies; maintain inventory and manage vendor relationships.
Skills, Knowledge and Expertise
- High school diploma or equivalent; an associate’s degree or relevant certification is a plus.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Ability to prioritize tasks and work independently
