Reports to: CEO
Status: Full-Time


The Administrative Assistant will play a crucial role in supporting the daily operations of our office and warehouse. This role involves a mix of traditional administrative duties and specific responsibilities related to warehouse administration. The successful candidate will be organized, detail-oriented, and able to handle multiple tasks efficiently. Additionally, this role will involve supporting the coordination and management of meetings.

 

Key Responsibilities:

- Answer and direct phone calls, emails, and other correspondence.
- Assist in preparing documents, reports, and presentations.
- Maintain and organize office filing systems, both electronic and physical.
- Schedule and coordinate appointments, meetings, and travel arrangements.
- Handle incoming and outgoing mail and packages.

- Assist in planning and organizing meetings, including scheduling, preparing agendas, and distributing materials.
- Arrange meeting spaces and ensure necessary equipment is set up and functioning.
- Take detailed meeting minutes and distribute them to relevant participants.
- Follow up on action items and ensure they are completed in a timely manner.

- Provide administrative support to other departments as needed.
- Assist in special projects and tasks as assigned by management.

 

Qualifications:
- High school diploma or equivalent; associate’s degree or higher preferred.
- Proven experience as an administrative assistant, office assistant, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Familiarity with warehouse operations and inventory management is a plus.
- Attention to detail and problem-solving skills.

 

Working Conditions:
The role will involve working in both an office and a warehouse environment. The candidate must be comfortable navigating between these settings and handling tasks that may require physical activity, such as organizing inventory or setting up meeting spaces.
