Are you an experienced Administrative Assistant with a desire to excel? If so, then Talent Software Services may have the job for you! Our client is seeking an experienced Administrative Assistant to work at their company in Maple Grove, MN.


Position Summary: The primary focus is providing complex administrative support for individuals and/or departments. Works under limited supervision with general instructions given on new assignments.


Primary Responsibilities/Accountabilities:

  • Performs general administrative duties that may include photocopying, coordinating meetings/appointments, typing, faxing, ordering/maintaining supplies, arranging travel, and preparing and/or sorting mail.
  • Assists with expense reconciliation, vendor POs and payments.
  • Coordinates events for team on and off site meetings
  • Works with various department teams where needed
  • Serves as a point of contact for internal customers. Contacts are frequently within own organization and involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature.
  • Answers complex functional questions that may require additional research and follow-up. Viewed as key functional resource.
  • Collaborate with cross functional partners to understand project goals/needs including budget, timing, expected deliverables or content creation/development, execution and measures for success.
  • Makes decisions using independent judgment under only general guidelines.
  • Creates and maintains professional documents (letters, org charts, presentations, etc.); ensures the document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications.
  • Responsible for confidential information which typically consists of company/division sensitive information (i.e. new product technology, organizational changes).
  • In all actions, demonstrates a primary commitment to patient safety and product quality by maintaining compliance to the Quality Policy and all other documented quality processes and procedures.


Qualifications:

  • High School or equivalent and 3 years of related experience with certification in assigned area required.
  • Open to - associate or bachelor's degree in business administration or office management preferred
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook) as well as familiarity with collaboration tools (Teams)

  • Project management software (Monday.com)
  • Problem Solving and Adaptability: Ability to make decisions independently, solve issues on the go, and adapt quickly to changes in a fast-paced environment.
  • Communication Skills: Excellent verbal and written communication skills are essential for interacting with executives, colleagues, and clients.
  • Organizational Skills: Ability to manage multiple tasks, schedules, and deadlines with high attention to detail
