New York Common Pantry is one of the city’s largest food pantries, providing food assistance, case management services, senior food provision, nutrition education, and hygiene services. We are a dynamic, mission-driven organization, experiencing rapid growth and expansion at this time.


NYCP is a poverty-fighting organization that reduces hunger and promotes dignity, health, and self-sufficiency by using a holistic approach to reach over 122,000 distinct people -- over 729,000 visitors each year. Last year, we served over 11 million meals. Through an array of programs that we offer, we look to establish long-term stability for those we serve.


NYCP is seeking an Administrative Assistant position to be tasked with ensuring the East Harlem headquarters office runs smoothly. The Administrative Assistant may need to travel to other NYCP locations as needed. The Administrative Assistant will be responsible for administrative and clerical duties.


The Administrative Assistant will report to the Deputy Executive Director at the 8 East 109th, New York, NY 10029 location. The schedule for this position is Monday through Friday: 9 am - 5 pm; 1-hour lunch. This is a Full-Time position, 35 hours a week, non-exempt.


Responsibilities:

  • Administrative and clerical support to support the NYCP senior leadership team (Executive Director, Deputy Executive Director, Senior Director of Finance, and Senior Director of Development and Communication).

  • Calendar management and maintenance and travel arrangements for the Executive Director and Deputy Executive Director.

  • Communicate with board members, external vendors, and outside stakeholders via email and/or phone.

  • Expense reporting and other special projects for the Executive Director.

  • Support in arranging drinks, food, and utensils for staff events.

  • Operate office equipment, such as photocopiers, voicemail systems, and other machinery.

  • Work closely with the Operations Office Manager to ensure smooth operations in the office.

  • Maintain inventory of office supplies and order the supplies as needed through the Office Manager.

  • Answer phones and greet clients, assist in document filing, perform basic bookkeeping, organize financial records, route telephone calls, organize office activities, and mail correspondence.

  • Sort and distribute incoming mail and prepare outgoing mail

  • Other responsibilities as assigned.

Qualifications:
  • Full professional proficiency level in English and Spanish is required.

  • High School Diploma is required, college or advanced degree is preferred.

  • A minimum of one year of administrative experience is required. Experience within a food pantry or food bank is preferred.

  • Commitment to helping the communities in need and NYCP’s work and mission.

  • Strong customer service and interpersonal skills required.

  • Excellent planning and organizational skills are required.

  • Attention to detail and ability to multitask.

  • Ability to stay poised in a fast-paced, high-energy work environment.

  • Proficient with Microsoft Office Suite, Google Drive.

  • Ability to work independently and take initiative.

Pay: $23.00 -$28.00 per hour
