Position Purpose: Serve as administrative assistant to the principal and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, record keeping, scheduling in-house teacher substitutes, process payroll reporting forms, and monitor budget reports.
Responsibilities:
Communicates, collaborates, and cooperates with colleagues, supervisors, public, parents, substitutes, PTA and students.
Types correspondence, letters and memos, purchase orders, check requests, forms, etc.
Answers telephones, responds to routine questions, sets appointments or routes calls to appropriate persons.
Performs duties relating to students such as scheduling and coordinating student orientation, administering medications (according to bargaining contract language), responding to accidents and other daily student issues as they arise.
Compiles and distributes monthly and annual reports including building budget reports, staff attendance, and calendar of events.
Receives visitors, new parents, and students; answering questions; resolving student problems; Schedules requested conferences and facilitating use of building by external groups.
Serves as confidential administrative assistant to the principal and assistant principals.
Maintains financial books for staff, student and building accounts.
Maintains school website by preparing, posting, updating information as it arises.
Maintains school online calendar by posting events as they are scheduled. Coordinate any physical set up needs with the Lead Custodian/Building Engineer.
Maintains school online shared documents folder by preparing and posting documents as needed.
Prepares and coordinates emergency response portfolio for staff and students. Acts as scribe to any emergency drill/event.
Processes and monitors attendance and absences for the building staff.
Processes and monitors payroll and time punches for hourly staff ensuring staff are punching in/out, compliance with 30-minute unpaid break periods for staff working over 5 hours per day and monitoring overtime and approval for work over scheduled shift with building supervisor.
Compiles reports, coordinates grade reporting, school newsletter, and prepares employee and student accident reports.
Maintains school/student records.
Acts as liaison between school and community, principal, parents, staff and students.
Assigns and coordinates office staff job duties and responsibilities.
Manager of the office and other clerical staff.
Annually evaluate office support staff.
Help staff to access the current telephone system by training as needed.
Participate in all mandatory training or training appropriate to the position as required by the district.
Minimum Qualifications:
Associate Degree plus three years general office work experience or equivalent combination of education and experience.
Must have experience with word processing, filing, office machines, and computer software programs (Word, PowerPoint, Excel)
Preferred Qualifications:
Five years of general office work experience
Experience with Power School
Experience with Google Docs
