Merle Norman Cosmetics, Inc. is hiring: Administrative Assistant in Los Angeles

The Administrative Assistant position provides general administrative support to the department. Performs routine clerical and administrative functions such as preparation and maintenance of documents and reports, coordination of meetings, maintenance of department files both in hard copy and electronically, product forecasting, organization of samples and supplies and answering internal inquiries.

Essential Duties and Responsibilities (Please note that the following description is not meant to be an exhaustive list of responsibilities and metrics but to highlight some key ones).

• Administrative tasks including answers telephones, organizes schedules, mail, supplies, processes and procedures.
  • Open incoming mail/materials and disperse to appropriate staff.  Coordinate mailings for PR efforts, vendor samples and miscellaneous requests as needed.
  • Responsible for maintaining office supplies and equipment.  Arrange for repairs when equipment malfunctions and order supplies as needed.
  • Maintain scheduling of department staff calendars to coordinate meetings
  • Implement departmental office procedures and update as needed
• Help generate documents and reports for approval and cross-company communication
• Create and maintain Excel reports, pulling data from internal reporting systems and the internet
• Set up and maintain both paper and electronic filing systems
• Create competitive landscapes on Excel based on online research
• Organization of samples and supplies
• Proofread documents for accuracy
• Address departmental inquiries verbally or in writing from both internal and external sources.  Provide proper information as requested following department procedures.
• Any other tasks as required to assist department in successfully meeting company goals as needed
