Job Description
A responsible, reliable, trustworthy experienced Administrative Assistant, preferably with Case Management experience is needed for a small, but growing medical Case Management Consulting Group. We work with individuals whom have been involved in motor vehicle accidents whom have suffered a traumatic brain injury and/or spinal cord injury. We coordinate their care as it relates to the motor vehicle accident. We are looking for an individual(s) with experience working in the auto no-fault industry and/or a former Case Manager seeking to work as Administrative Assistant and work in the field when needed. Our goal is to assist the clients with rehabilitation in order for them to return to their pre-injury status.
1. Provide clerical support.
2. Develop and maintain confidential electronic and/or hard copy files.
3. Answer and direct phone calls. Follow-up with providers and clients in a timely manner.
4. Maintain contact/provider lists.
5. Produce and distribute correspondence member, medical records letters, faxes and forms.
6. Write Letters and emails on behalf of staff.
7. Handle sensitive information in a confidential manner.
8. Take accurate notes at meetings.
9. Be able to create documents and be very proficient using Microsoft Office and Quick Books.
10. Reliable transportation is needed daily in order to pick up medical records, records pertaining to the case(s), and potentially attend visits when needed.
11. Maintain supplies inventory by checking stock to detrain inventory level, anticipate needed supplies and pick up supplies when necessary.
12. Be able to prepare and proof read reports (checking for grammatical errors, misspelled words, etc).
13. Schedule appointments and transportation for clients if needed.
14. Have great organizational skills.
15. Be able to work independently without having to be micromanaged.
16. Have excellent verbal and written communication skills.
17. Excellent time management skills and the ability to prioritize work.
18. Be able to write letters to clients.
19. Be able to type 45-50 words per minute.
20. Assist and cover with client appointments if necessary.
21. Must have experience with billing auto insurance, as well as commercial health insurances.
22. Maintain a filing system for billing records, medical charts and financial records.
23. Must feel comfortable being able to drive short distances when needed.
24. Must have billing experience with Delphi medical software.
