As an Administrative Assistant at Index Industries, you are entrusted with the responsibility for accurately creating customer invoices, scheduling shipment details, and efficiently communicating with all departments.

ESSENTIAL DUTIES IN THE FIRST YEAR MAY INCLUDE:
Within the first 30 days:
● Partners with another Admin Assistant to shadow and learn the steps of processing sales orders for invoicing, using multiple shipping platforms, identifying key details, and ensuring that all warehouse paperwork is appropriately organized.
● By the 30-day mark, proficiently handles all non-complicated invoices, works independently on at least 75% of invoices, and begins to learn how to complete more complicated orders including international and LTL shipments.
3 months and ongoing:
● Have a good working knowledge of the Administrative Assistant functions and responsibilities, understand customer terms on invoices, and start to familiarize yourself with different levels of certification requirements.
● Continues to expand your knowledge and undertake increasingly complex and specialized orders.
6 to 12 months and ongoing:
● Checks off and processes 100% of all standard and complicated orders.
● Demonstrates reliability by being consistently present to handle a variety of orders.
● Proficiently handles all LTL (Less-than-truckload) shipments following the standard processes and procedures and understands all the documents necessary to complete LTL shipments from start to finish, including domestic or international orders.
● Discuss individual goals and career paths with the manager which might include participation in cross-training with other departments.
EDUCATION, SKILLS & EXPERIENCE:
✔ Possesses a valid driver’s license and DMV printout required
✔ Demonstrates a willingness to learn and work with enthusiasm required
✔ Possesses strong written/verbal communication skills required
✔ Demonstrates strong organizational and mathematical skills required
✔ 1+ year(s) of working experience within an office setting or similar environment preferred
✔ Strong familiarity with modern clerical processes and/or methods of operation preferred
✔ Experience with creating invoices and shipping platforms a plus
COMPENSATION & COMPANY BENEFITS INCLUDE:
The compensation range for this position is $18.00 - $22.00 per hour based on experience and skillset
Your Working Hours: Monday-Friday 7:30 a.m. - 4:00 p.m.
