The Wichita State University Foundation and Alumni Engagement (WSUFAE) is looking for a highly organized and proactive Administrative Assistant to support our development team. The ideal candidate will manage daily activities, including calendar management, travel coordination, and special projects. Responsibilities include scheduling appointments, arranging meetings, setting up conference rooms, and preparing and distributing correspondence, reports, and other documents. The job duties for this position include:
- Assist assigned development team’s daily activities, management of calendar, coordinating travel, special projects, and events, including preparation of materials, proposals, and guidelines.
- Schedule appointments, arrange meetings, and set up conference rooms.
- Prepare and distribute correspondence, reports, and other documents as required.
- Support to the College of Fine Arts support groups, including prepping for monthly meetings.
- Assists with at least three (3) large appeal mailings for support groups.
- Submit all travel requests, receipts, and expense reports to appropriate personnel.
- Attend meetings and take minutes as needed.
- Serve as backup assistant for the development team.
- Provide backup support for other office staff when necessary.
- Maintain computer and paper files.
- Perform any other duties as assigned.
Job Requirements
- High School diploma or its equivalent
- Four years of administrative support experience
- Commitment to the WSUFAE core values of Integrity, Excellence, Collaboration, and Service
- Ability to work independently as well as part of a team
- Project professional image at all times
Skills
- Excellent organizational, interpersonal, oral, and written communication skills
- Proficiency in Microsoft Office Suite
- Maintain confidentiality of information, records, and materials
- Strong attention to detail
- Excellent proofreading skills for high-quality documentation
- Highly motivated with the ability to work effectively independently and as part of a team
Physical Requirements
- Frequent and sudden movements from sitting, standing, bending, reaching, and walking
- Frequent standing or sitting for prolonged periods
- Frequent exposure to large crowds, loud noises, and/or bright and/or flashing lights
- Occasional climbing of stairs
- Frequent interruptions throughout the day
- Occasional lifting up to 20 pounds
- Occasional exposure to outdoors and hot and inclement weather
Preferred Requirements and Skills
- College Degree
- Experience with desktop publishing
- Database Knowledge
- Knowledge of Wichita State University and a commitment to a higher education
