Responsibilities for Administrative Team Members:
- Collaborating with clients to download and catalog all tax, accounting and audit documents using multiple document portals.
- Preparing, proofreading, and uploading client engagement letters, financial statements, and other documents.
- Processing tax return assemblies, e-filing and obtaining client authorizations using tax software and Adobe Creative Cloud for editing, following process to completion.
- Client onboarding in all software systems and related communication.
- Fielding calls and email communication with clients.
- Supporting partners and internal team members with administrative tasks.
- A/R and A/P Support: Entering vendor invoices for payment, applying client payments, and making Accounts Receivable calls and related follow-up.
- Possible support for our social media work using multiple marketing platforms.
Other Job Details:
- Full-time and on-site in Parsippany, NJ.
- Standard hours 9:00am-5:00pm.
- Flexibility and willingness to work extended hours (evenings/weekends), January-April, September-October, and as needed.
- Competitive salary - negotiable based upon your experience.
Required Qualifications:
- High School graduate or equivalent.
- At least 1 year of office experience, preferably in a financial services or legal firm.
- Client service experience.
- Strong proficiency in Microsoft Office Suite, especially Excel.
- Demonstrated proficiency learning new software programs.
- Strong proficiency in Adobe Creative Cloud (editing pdf documents).
- Excellent verbal and written communication skills, organizational and analytical skills, and diligence.
- Professional demeanor and presentation.
- Ability to thrive in a demanding environment.
You will stand out if you have:
- CPA Firm experience providing admin support for tax, audit, or accounting departments.
- Knowledge of tax, accounting, and financial terminology.
- Experience with A/R and A/P.
- Associate or Bachelor’s Degree.
