What We Do
Executive Assistant for the President of the Oprah Winfrey Network, handing all WBD and OWN network relations
Job Responsibilities / Typical Day in the Role
Heavy calendar management for the President, including scheduling conference calls and meetings. The assistant will closely monitor calendars, gather and organize meeting materials and agendas in advance.
Handle general administrative duties including answering phones, process and track expense reports, digital filing, drafting emails for internal and external purposes, and ordering office supplies.
Arrange travel including, itineraries, flights, accommodations, and ground transportation related to business events.
Maintain strict confidentiality of sensitive information, handle confidential documents and communications with discretion.
Foster positive relationships with key stakeholders, both internally and externally, collaborate with other assistants and departments to ensure seamless operations.
Attend internal meetings, maintain notes, and coordinate action plans.
Handle all arrival details for guests of the President, including calling in drive on passes, reserving lunch appointments and escorting guests to and from the President s office.
Act as the liaison for operational facilities for the OWN offices, including handling employee guest drive on passes, working with WBD facilities on any issues in the office.
Coordinate company events including but not limited to leadership summits, brand immersions, screenings and catering.
Assist the President on decks for OWN Board Meetings, inter-company presentations and public speaking events.
Regularly distribute reports to board members, employees and other network partners.
Works as the President s press liaison to assists with talking points for in person appearances and speaking engagements.
Research and arrange gifting for the President s office, including internal and external gifting.
Proven experience as an executive assistant or in a similar role.
Bachelor s Degree preferred
Excellent oral and written communications skills
Microsoft office suite proficiency, especially Outlook, PowerPoint and Excel.
Ability to multi-task, prioritize and thrive in a fast-paced environment
Attention to details
Must Have Skills / Requirements
Really good at calendaring, scheduling, helping keep on schedule
Experience as an EA-more than 2 years/ maybe 2 or 3 experiences (pref 3) Not possible for new people. 1-2 years experience with a team in Design, Marketing, or Acquisitions Marketing.
Junior College degree is fine- doesn t explicitly need a bachelors, have a lot of EA experience preferred
Nice to Have Skills / Preferred Requirements
Soft Skills
Poise- office that works with Oprah, must be strong with people skills. Working with executives at WBD, Working with a lot of people.
Great communicator- must talk to important executives.
Active thinking- Catch if something is falling through the cracks for HM
Being flexible in organizing priorities as they come
Education / Certifications
1) Bachelors preferred in relevant area
