Job Description
Congregation Shir Hadash is a thriving, inclusive and diverse Jewish community located in Los Gatos.
We are seeking an Administrative Assistant to support our Synagogue community. The successful candidate will be self motivated, a team player and able to manage multiple priorities.
Scope of Responsibility
The Administrative Assistant supports the Senior Staff including the Clergy, Executive Director and President through a variety of administrative tasks including phones, calendaring, facilitating meetings/classes/events as well as general administrative tasks associated with Synagogue operations. This position will also include some ongoing basic project management tasks such as clerical preparations for Shabbat and Holidays, B’nai Mitzvah scheduling and High Holy Days support.
Job Duties & Responsibilities (partial listing)
- Congregational correspondence from the Clergy
- Special group emails regarding specific event information
- Prepare, obtain signatures and mail letters acknowledging all donations
- Create & maintain donation database for inclusion in The Rest
- Prepare and mail certificates of recognition for incoming donations
- Maintain master BM schedule and update as dates change
- Maintain Family/Parent meeting schedule and correspondence
- Facilitate B’nai Mitzvah information packets
- B’nai Mitzvah Family Meeting scheduling, correspondence and catering
- Maintain supply of gifts and certificates for B’nai Mitzvah. Manage personalization of gifts & certificates with outside vendors in a timely manner
- Manage life cycle event support (certificates/communication/gifts etc)
- Manage shabbat honors correspondence
- Support Adult Education Classes
- Coordinate Workshop, Festival/Holiday, Shabbat lunches
- Orders and maintains office supplies
- Greets guests and manages door systems
Other Duties as Assigned
Qualifications
- BA degree preferred and 3+ yrs Administrative Assistant experience
- Intrinsically motivated to help others
- Organizational skills, attention to detail and follow through
- Excellent written and oral communication skills
- Works well in a small office environment, embraces cohesiveness and collaboration with professional demeanor
- Strong work ethic, positivity, flexibility and enthusiasm
- Willingness to learn Jewish cultural activities and traditions; training will be provided
- Strong computer skills - MS Office, Google Drive
Nice to Have
- Synagogue or Non-profit experience
- Jewish or Jewish Knowledgeable
- ShulCloud Experience
- Social Media savvy, basic web technologies
Schedule: This position requires some evening & weekend responsibilities
