Location: Louisville, CO (In-office and warehouse setting)

Hourly Rate: $23-$28/hr

Job Overview:
As an Administrative Coordinator Assistant, you will play a vital role in supporting various functions within our company. Your responsibilities will include managing schedules, handling health benefits administration, overseeing documentation, and facilitating team celebrations. You’ll be the linchpin for effective communication across teams, ensuring seamless operations and contributing to our commitment to legendary service.

Key Responsibilities:
  • Uphold and embody our company values in daily tasks.
  • Manage routine administrative functions and address urgent tasks promptly.
  • Answer and direct phone calls, and greet visitors warmly.
  • Assist with onboarding and offboarding processes, including documentation and system setups.
  • Support health insurance administration and email management.
  • Maintain personnel records and prepare data for payroll processing.
  • Coordinate documentation for internal and external stakeholders as needed.
  • Oversee general facility management, including maintaining coffee supplies and coordinating event setups.
  • Organize company celebrations, such as birthdays and anniversaries.
  • Manage calendars and appointments for multiple users, scheduling meetings and maintaining clear communication.
  • Coordinate travel arrangements and trade show logistics for the team.
  • Maintain effective communication with both internal teams and external partners.
  • Record and manage expenses and petty cash.
  • Prepare gifts, thank-you notes, and miscellaneous packages as required.
  • Assist the Executive Assistant with additional tasks as needed.
  • Take on other duties as assigned by team members.
Qualifications:
  • Education & Experience:
    • Associate's degree (AS) or 3-5+ years of relevant administrative experience.
  • Skills:
    • Proficiency in Google Workspace (Docs, Sheets, Slides, Gmail) or Microsoft Office Suite (Word, Excel, Outlook).
    • Strong spreadsheet skills.
    • Familiarity with task management tools (e.g., Asana).
    • Quick adaptability to new software and platforms.
    • Solid understanding of email and calendar management.
  • Personal Characteristics:
    • Excellent written and verbal communication skills.
    • Ability to convey information clearly and collaboratively.
    • Strong focus, time management, and multitasking abilities.
    • Proactive self-starter with high organizational skills.

    • Capacity to lift up to 50 lbs occasionally.
