Job Description
Administrative Assistant / Bookkeeper
Ashburn, VA
MUST:
Accounting or bookkeeping
2-5 years of prior Booking keeping / administrative support experience required
2-5 years Record transactions in QuickBooks
Financial Services industry experience preferred.
Extensive experience working with QuickBooks
Strong initiative with high degree of organization and attention to detail.
Must have the ability to handle multiple and changing priorities in a fast-paced environment.
Must be computer literate and proficient with Word, Excel as well as email and the Internet.
Must be resourceful and a quick learner; familiarity with financial and marketing databases a plus.
Series 7 & 66 strongly preferred.
Bachelor's degree in business or related studies required.
DUTIES:
Bookkeeping functions
Record transactions in QuickBooks and reconcile to various statements
Full charge accounting cycle from AP, AR, invoicing and prepare journal entries
Retrieve and record payroll reports from various payroll third party providers.
Prepare quarterly and annual payroll filings
Input client data into tax software
Prepare and analysis on Excel spreadsheet
Interact with clients by telephone and in person to answer questions, take information, complete new account applications and/or fund transfer requests, schedule client meetings for advisor, etc.
Act as liaison with financial institutions, such as broker-dealer, custodian institutions, mutual fund companies, money managers, and insurance companies.
Initiate, track, and expedite new account processes, fund transfers, and trades.
Process brokerage/insurance paperwork, correspondence, and performs marketing and data analysis.
Review all applications to ensure they are accurate and complete ( "in good order ") prior to transmittal.
