Position Overview:

The Administrative Assistant is to serve as general administrative help to Personnel Security Services Program and is responsible for overseeing and providing day-to-day support services in a wide area of administrative functions thus minimizing executive involvement on daily and routine administrative functions and inquiries.

Key Responsibilities:

  • Independently manages team calendars through scheduling meetings, appointments, speaking events, staff meetings, etc.
  • The incumbent must be able to make the appropriate judgment when committing resources for an appointment/event.
  • Assure resources are briefed and have all documentation for the meetings in advance.
  • Oversee and assist with day-to-day administrative functions of Program Support Center (PSC). PSC in the areas of logistics, office supplies, data gathering, researching information, preparing reports, briefings, charts, directories, memoranda, letters, presentations, etc.
  • Serves as the liaison and coordinator for administrative functions and inquires that cut across PSC services and for conveying new administrative policies, procedures, and notifications to service organizations in a timely manner.
  • Serves as point of contact for PSC document control through coordinating throughout the Directorates, EEO, and FOIA office on incoming and outgoing correspondence, directives, congressional, and FOIA inquires.
  • Assist with coordination of PSC-wide events: for example, annual picnics, CFC, PSC all hands meetings, employee awards, plaques, and certificates while arranging for special accommodations as requested by attendees.
  • Set-up and coordinate with contractors to provide training across PSC and assist program staff with training as needed.
  • Functions as the property custodial officer for PSC immediate office.
  • Provide general information and guidance in response to various inquiries from HHS, other Federal agencies and the general public. Respond personally or redirect inquiries to the appropriate office for response.
  • Frequent to constant standing and walking throughout the workday.
  • Other duties as assigned

Qualifications:

  • 3-5 years of experience working in program assistant and/or administrative capacity
  • Applicants selected for this position may be required to be vaccinated for COVID-19 absent a need for an accommodation.
  • Must have a minimum of a high school diploma or equivalent AND a minimum of 3 years of experience working in program assistant and/or administrative capacity.
  • Exceptional interpersonal, verbal and written communication skills
  • Must be proficient in Microsoft Office Suite software (Word, Excel, and Outlook).
  • Demonstrated attention to detail.
  • Excellent analytical and problem solving skills.
  • Excellent organization skills and the ability to multi-task.
  • Ability to work independently and with minimal supervision.
  • Ability to multi-task.
  • Proficient written and verbal communication skills.
  • Coordination of work activities with other persons and groups.
  • Computer skills (Microsoft Office Suit).
  • Ability to interact with representatives, executives, and director.
  • Must be able to work in a fast paced and changing work environment.
  • Must be able to obtain and maintain a Tier 4 Public trust government clearance which entails completing a criminal background check, credit check, employment verification, as well as a drug screen.
