Addison Group is seeking an Administrative Assistant for our client, a leading trade association representing broker-dealers, investment banks, and asset managers. Known for their thought leadership and collaborative culture, this organization is a hub for policy advocacy and professional development.


Job Description:

The Administrative Assistant will provide high-level administrative support to four Managing Directors within the Retirement Policy and Asset Management Group. The role requires exceptional organizational skills, proactive calendar management, and the ability to handle confidential communications with professionalism.


Key Responsibilities:

  • Perform administrative tasks such as preparing correspondence, managing expense reports, and updating workstream documents.
  • Coordinate complex travel arrangements, addressing any last-minute changes.
  • Manage and maintain schedules, including meetings, conference calls, and in-person events.
  • Communicate with members, government officials, and external stakeholders with professionalism and confidentiality.
  • Assist in editing and formatting documents such as agendas, comment letters, and supporting materials.
  • Provide support for meetings, including coordinating logistics with the New York office when necessary.
  • Maintain and update committee, forum, and task force details in the online database.
  • Handle phone calls, mail, and packages, ensuring prompt responses and follow-through on assignments.

Qualifications:

  • Bachelor’s degree required.
  • Minimum of 3 years of experience in administrative roles, preferably in financial services, private equity, or asset management.
  • Proficient in Microsoft Office Suite, Concur, and database systems.
  • Strong written and verbal communication skills.
  • Highly organized, adaptable, and capable of multitasking in a fast-paced environment.
  • Professional demeanor with a customer service mindset.
