RESPONSIBILITIES

  • Act as point of contact and general support to visitors, program, and department. Interface with building management Liaise with internal (and external) program/department administration to handle requests and queries.
  • Complete a range of clerical tasks including but not limited to answer & direct calls, managing calendars, purchase supplies, schedule appointments, update staff directory, write and distribute e-mail, sorting mail, preparing invoices, etc.
  • Manage fiscally related systems; Nexonia and Emburse/Intaact
  • Maintain general agency and office policies and procedures.
  • Update and retain required, postings of employment law notices, employee notices and certifications (i.e. certificate of insurance), asset panda registry to ensure compliance with regulatory requirements
  • Perform all other duties and tasks as assigned.

QUALIFICATIONS

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant.
  • High School degree: additional qualification as an administrative assistant or Secretary will be a plus Excellent time organizational/management skills, multi-task, and the ability to prioritize work.
  • Attention to detail and problem-solving skills Excellent written and verbal communication skills.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel and MS PowerPoint, etc.)
  • Bi-lingual English and Spanish language proficiency is preferred.
  • Advanced-level professional competency in written and spoken English language is required.
  • Authorization to work in the United States for any employer is mandatory

PHYSICAL REQUIREMENTS

  • Ability to use a computer for prolonged periods.
  • Ability to occasionally lift and/or move up to 10 pounds.
  • Ability to stand, walk, or sit for long periods of time.
  • Ability to climb five flights of stairs.
  • Ability to bend and retrieve objects and/or documents.
