Facilities Administrative Assistant Job at Norm Reeves Inc in Cerritos

Location: Cerritos, CA (On Site) | Type: Full Time | Pay Rate: $28.00/hour

The CAR Group (Norm Reeves), a nationally recognized automotive group, is seeking a motivated and detail-oriented Facilities Assistant to support our automotive dealerships and facilities operations. This full-time role is based out of our Cerritos, CA location and will report directly to the Facilities Operations Manager.

What You’ll Do

• Manage the facilities ticketing system by logging, tracking, and assigning facility-related requests to appropriate vendors.
• Serve as the point of contact for vendor coordination, scheduling, and service follow-ups.
• Handle communication with vendors to ensure timely resolution of maintenance or service requests, including janitorial, landscaping, and repairs.
• Assist in the administration of vendor contracts, including tracking service agreements and processing payments.
• Maintain a database of service requests, project timelines, and vendor management records.
• Support internal teams with general facility inquiries and ensure requests are handled promptly.
• Assist in coordinating facilities-related aspects of events, such as booking vendors or arranging services.
• Perform general administrative duties, including managing facility-related reports, maintaining inventory records, and ordering supplies as needed.
• Provide additional support for facilities-related projects and other duties as assigned.

What You’ll Need

• Previous experience in administrative assistant or facilities support preferred.
• Strong organizational skills with attention to detail and follow-up.
• Ability to work independently and manage multiple tasks simultaneously.
• Excellent communication skills, both written and verbal.
• Comfortable using technology and facilities management systems.
• Proficient with Microsoft Office.
• A valid driver’s license and the ability to travel between dealership locations as needed.
