We’re hiring an executive assistant to provide administrative support to our firm owner and the team.

Your role is key to ensuring plans are made, schedules are set, meetings happen on time, and information received is organized and up-to-date.

Ideal candidates are proactive, love diving into projects, working with others, and are interested in playing a big role in the vision of our organization.

We need someone who is interested in being with us as we grow and is willing to help our Owner and Firm Administrator with administrative tasks that range from the mundane to the extraordinary.

The most important quality you can possess at our Firm is a great attitude and willingness to roll up your sleeves and pitch in wherever it’s needed.

Compensation:

$40,000 - $55,000 yearly

Responsibilities:
  • Perform basic bookkeeping duties
  • Serve as the main contact for high-level executive
  • Oversee scheduling, including arranging accommodations and travel, managing itineraries, and setting up team meetings
  • Perform additional assigned duties from executives such as picking up orders, handling personal mail, etc.
  • Screen incoming information from messages, phone calls, voicemails, memos, and emails, compile information, and report to an executive

Your basic responsibilities:

  • Triages Owner’s emails and phone calls and acts as a first responder to independently handle issues that do not need to be escalated to the Owner
  • Monitor Owner's calendar and provide reminders for appointments, tasks, and deadlines
  • Arrange and book travel, transportation, and accommodations for the Owner and staff
  • Organize events and conferences
  • Types, compiles, and prepares reports, presentations, and correspondence
  • Liaises with staff, suppliers/vendors and clients
  • Oversee office activities assigned by the Owner, from the mundane to the extraordinary
  • Participate in staff meetings with the Owner and Staff. Lead by example with a positive and enthusiastic attitude. Comply with all rules and regulations as stated in the Firm’s Policies and Procedures.
  • Occasionally runs personal errands such as getting coffee or lunch, dropping off packages at UPS/FedEx/USPS, acquisition of supplies or sundries through websites, sending cards and gifts to friends and family, etc.

Qualifications:
  • Possess a high school diploma, G.E.D. or equivalent
  • Comfortable meeting deadlines and handling confidential information
  • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills
  • 2 or more years as an assistant, executive assistant, or in a position performing supportive duties
  • Must be comfortable using Microsoft Office

  • You don’t think making coffee or getting our guests a beverage is beneath you
  • You must be a positive, high-energy team player who is results-oriented – No Drama!
  • You must care about something and have goals in life
