Bilingual (English-Spanish) Administrative Assistant/Receptionist

The Administrative Assistant’s primary responsibility is to ensure excellent client care by offering education, information, and consistent communication to clients. Working in tandem with the Attorney and Legal Assistant as part of the team, the Administrative Assistant is responsible for collaborating effectively with their team members to achieve the Firm's and client's objectives, as well as enhance the client journey.



Although we are a virtual firm, this is not a work-from-home position. This position will report to the East Austin office daily.

Work Conditions/Physical Demands

  • Must be able to remain in a stationary position for at least 80% of the workday
  • Occasionally must be able to lift 50lbs


Compensation/Benefits

Compensation for this role is commensurate with experience. We provide fully covered medical, dental, vision, and life options, 401(k) match, 2 weeks PTO offered with an additional week of paid holidays, well-being resources, and a positive environment with a team who values hard work and teamwork and reward both.

Compensation:

$16 - $19 hourly

Responsibilities:
  • Engage with clients in a warm, welcoming, empathetic manner to build trust, and credibility, and achieve exceptional customer service
  • Engages and collaborates effectively with Legal Pod partners to discuss assigned cases or projects and develop necessary action plans to ensure the successful completion of client communication
  • Ensures systems (LollyLaw, spreadsheets) are updated and accurate on a daily basis to foster effective cross-departmental communication
  • Monitors the Legal Pod voicemails and provide updates to the Attorney, LA, and clients based on the request of the caller 
  • Utilize all communication channels (text, email, phone number) to follow up with clients
  • Responds to client inquiries (text, email, phone number) throughout the day, ensuring not to exceed one business day if immediate response is not possible
  • Fields all inbound client communications to either 1) resolve the issue or 2) escalate the issue to the appropriate Legal Team member
  • Ensures that all calls that require a call back are scheduled on the Attorney or legal assistant calendar
  • Monitors and completes the documents that are assigned in the LGL Translation Rotation
  • Undertake other duties as needed to ensure the firm operates efficiently
Qualifications:
  • At least 1-year experience in a similar position (Required)
  • Experience in the legal services industry (Strongly Preferred)
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving skills
  • Ability to prioritize tasks and to delegate them when appropriate
  • Ability to function well in a high-paced and at times stressful environment
  • Proficient with Google Suite or related software
  • Ability to handle adversity with maturity and poise
