Job Title: Operations Assistant

Summary:

As an Operations Assistant, you will play a vital role in supporting all activities related to the operations and development of our clients company's products. This includes overseeing contract renewals, price changes, and various clerical duties related to account management. If you are detail-oriented, organized, and have a methodical approach, we want to hear from you.

The Ideal Candidate:

The ideal candidate for this role will possess a strong background in previous roles relating to operations of the business. They will have a blend of technical expertise and administrative proficiency, utilizing advanced technology to efficiently track contract renewals, price changes, and manage account-related tasks. They would excel in generating labor efficacy reports, monitoring spending, and maintaining comprehensive records. With strong communication skills, they would collaborate with managers, contribute to strategic planning, and ensure compliance with quality standards and budgetary constraints. Demonstrating organizational support, punctuality, dependability, and initiative, they would actively contribute to the organization's success while pursuing continuous self-improvement.


Essential Duties and Responsibilities:

  • Track contract renewals, price changes, and perform clerical duties for new/changed/renewed and canceled accounts.
  • Generate weekly labor efficacy reports, tracking hours and key performance indicators.
  • Monitor consumable spending for all accounts and compile monthly inspection scores/reports.
  • Create and maintain Manager Binders with account information, contacts, scope of work, and schedules.
  • Follow up with managers mid-week and weekly to reconcile hours-budget issues.
  • Create weekly agendas and distribute meeting notes for Operations meetings.
  • Develop and maintain manufacturing operations business plans, incorporating program requirements, labor hours, cycle, production costs, and images.
  • Provide input to product strategy and contribute to the research and development of new and emerging products.
  • Establish production and quality control standards, develop budgets, and implement cost controls.
  • Ensure all established costs, quality, and delivery commitments are met.
  • Perform administrative activities associated with the effective management of shop operations, including compiling, storing, and retrieving production data for reports.
  • Determine responsibilities of assigned organization and staff positions to accomplish business objectives.

Qualifications:

To perform this job successfully, an individual must meet the following qualifications in addition to having experience in the above essential duties, responsibilities, and competencies:

  • High school education with some post-secondary education; or 4-10 years related experience and/or training; or equivalent combination of education and experience.
  • Microsoft Office Suite experience is a must.
