This position is expected to start after January 1, 2025. 


Part- time position: 20 hours per week 

GENERAL STATEMENT OF DUTIES: Under direct supervision of the Court Administrator, this position performs a variety of administrative duties to assist the Court Administrator and City Prosecutor. This position will prepare documents, assist during docket, and general clerical assistance for the municipal court. 

EXAMPLES OF DUTIES: (The following essential job functions and examples of duties are illustrative only and not intended to be all inclusive. Duties may be modified, added or deleted at the discretion of the Department Director.): 

  • Attends court on Thursdays (Approximately 8:00 am to 5:00 pm) and assists with the movement files during docket.  
  • Review and verify data entries completed by other team members to ensure accuracy and consistency. This includes cross-checking data against original documents or source materials and correcting any discrepancies. 
  • Prepares municipal court subpoenas for the prosecutor which may include contacting witnesses as well as working with Municipal Court and Police Department staff. 
  • Prepares and sends victim impact statements. 
  • Building court files. 
  • Filing of court documents and files.   
  • Assisting with fax and mail.  
  • Coordinates and collaborates with the City Prosecutor. 
  • Prepares and sends discovery. 
  • Assists customers during court, at the front window, and over the phone.  
  • Other duties as assigned. 

QUALIFICATIONS 

Knowledge, Skills & Abilities 

  • Demonstrated personal effectiveness, credibility, thoroughness, flexibility, and collaboration skills in adhering to and advancing the City’s vision, mission and values. 
  • Strong written and verbal communication skills with the ability to effectively communicate and interact with all levels of personnel within the City and the general public in a positive and cooperative manner. 
  • Ability to establish and maintain effective working relationships with court customers and citizens; ability to handle sensitive situations with tact and diplomacy; maintain confidentiality; communicate effectively both orally and in writing. 
  • Ability to operate standard office equipment including but not limited to a computer, calculator, copiers and other general office equipment. 
  • Proficient knowledge of Microsoft Office applications. 
  • Knowledge of principles and procedures of basic record keeping. 
  • Knowledge of customer relations techniques, i.e. fostering a positive attitude, maintaining a courteous, helpful and professional demeanor. 
  • Strong attention to detail. 

Experience and Training Guidelines 

  • Requires a high school diploma or equivalent; and 
  • Previous experience with clerical or administrative support and customer service experience is preferred. 
  • Prior work experience as a court clerk, paralegal, customer service clerk or administrative clerk strongly preferred 
  • An equivalent combination of administrative clerk education, training or work experience which provides the knowledge, skill and ability required to perform the essential functions of the position.
