Executive Assistant Position

Note: In office, 5 days/week in Koreatown LA.

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our law firms CEO. Executive Assistants responsibilities include managing the CEOs calendar, time, focus making travel arrangements, generating reports, assisting with powerpoint presentations, assisting in meeting preparation, coordinating meetings with business development partners, making sure the CEO's schedule is being followed, and managing CEO's e-mails. The executive assistant will also coordinate phone calls with clients, schedule meetings, and act as a gatekeeper to all team members and clients who want time with the CEO. The executive assistant must also be willing to help with CEOs personal matters, such as his real estate portfolio, personal travel, appointments, and other business ventures. The executive assistant will also be responsible for being the right hand of the CEO, and when necessary, the voice of the CEO.. The executive assistant must be willing to fill in for meetings for the CEO and calendar follow ups with the team. To be successful in this role, you should be super-organized, have great time management skills, pro-active, solutions driven, and possess good people skills. You have to be able to take action and find a way to get the job done without much guidance. Ultimately, you will contribute to the efficiency of our law firm and CEO (professionally and personally) by ensuring the CEO is free to spend more time doing what only he can do.

Requirements

Responsibilities

  • Act as the point of contact between CEO, management team, employees, clients and other external partners
  • Manage CEOs calendars and set up meetings
  • Manager and filter CEO e-mails
  • Make travel and accommodation arrangements
  • Take minutes during meetings, schedule follow ups with employees
  • Screen and direct phone calls and action e-mails/correspondence
  • Organize and maintain CEO's calendar, organize and structure law firm operation documents
  • Conduct research on a variety of matters related to law firm expansion
  • Executing contracts with vendors, strategic partners, and sign off on law firm initiative on behalf of CEO
  • Assist with Law Firm projects related to market expansion and client experience.
  • Work experience as an Executive Assistant, Personal Assistant or similar role, a plus
  • Excellent MS Office knowledge
  • Experience with Google Sheets, Excel, Powerpoint, Quickbooks a plus
  • Handle CEO personal arrangements real estate, insurance, taxes, travel, investments and other business ventures,etc
  • Have reliable transportation
  • Ability to work weekends and after-hours when necessary
  • Experience with Slack App a plus
  • Self starter
  • Outstanding organizational and time management skills
  • Discretion and confidentiality
  • Bachelor Degree is a plus
  • Bi-Lingual is a plus
