Position Summary:

Perform office administrative functions requiring confidentiality, initiative and independent judgment for the President/CEO, Senior Management, and Volunteers. Interface with visitors, vendors, and regulators. Work collaboratively on organization-wide initiatives and events that contribute to the strategic direction and social responsibility of the Credit Union.


Duties/Responsibilities:

Follow all credit union policies, procedures, and requirements in addition to all state and federal laws and regulations, including Regulation CC, the Bank Secrecy Act, OFAC and USA Patriot Act/Customer Identification Act (CIP). Educate members on various credit union policies, procedures and related laws and regulations where applicable.

Perform confidential duties using complex and varied research, clerical, and support duties.

Responsible for the arrangements and/or materials needed for monthly board meetings, supervisory committee meetings, annual membership meeting, appreciation banquet, and strategic planning meeting, as well as for other events as required, including coordinating location, scheduling, sending reminders, and organizing catering when necessary.

Prepare correspondences, projects, meeting minutes and reporting, utilizing a broad range of technology for executive, volunteer, and business audiences.

Take and distribute board meeting minutes.

Arrange and coordinate appointments, conferences, meetings, corporate travel, and seminars for volunteers and credit union personnel.

Maintain and manage NMLS Federal Registry, CUNA Council memberships, HR Direct membership, and volunteer portals.

Administer self-study training portals and training records for staff and volunteers for regulatory compliance.

Maintain and process updates to the policy manual, strategic plan, and volunteer attendance binders.

Review and manage the credit union’s vendor management program for regulatory compliance.

Maintain Employee/Official Member records to include restricting and unrestricting accounts accordingly.

Maintain credit union vehicle travel log and maintenance schedule.

Issue Alapocas lot parking permits for assigned staff and maintain lot contract.

Maintain copies and permanent records in accordance with retention policies.

Purchase and maintain supplies for the office.

Conduct courier runs between offices as directed.

Assist human resources department as needed.

Complete other duties as assigned.



Essential Functions:

Extended sitting up to 60% of the time.

Lifting, up to thirty-five (35) pounds occasionally required.

Bending, squatting, kneeling, reaching above or below shoulder level frequently required.

Intermediate mathematical skills (calculations/concepts involving decimal and percentages).

Occasional travel and irregular hours may be a requirement.

Occasional exposure to dust and poor ventilation.

Critical thinking skills.

Excellent oral, written, grammar and communication skills. Ability to use technology and follow verbal and written instructions.

Proficient with Microsoft Office Suites and Adobe Acrobat software

Possess strong organizational ability, time management, ability to multi-task and make decisions independently.

Valid driver’s license required.

Must be bondable.


Education, Training and Experience:

High school diploma or the equivalent.

Minimum 2 years experience in an executive/administrative position.
