Summary:

Performs a variety of secretarial and paralegal duties for attorneys according to established policies and procedures. Maintains positive contact with clients, attorneys, and staff and observes confidentiality of client and firm matters.
Primary Responsibilities will include but are not limited to:
• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating case preparation.
• Conserves attorneys' time by proofreading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, court reporters, expert witnesses, and other special functions; coordinating preparation of charts, graphs, and other courtroom visuals; and preparing expense reports.
• Maintains attorney calendar by planning and scheduling conferences, teleconferences, depositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; knowing when to act and when to refer matters to an attorney.
• Have filing up to date, especially before court and client conferences.
• Screen telephone calls and record messages.
• Ensure that outgoing mail is delivered in a timely manner. If necessary, route mail to a specific delivery service and follow up on timely delivery. Arrange for service of subpoenas and other court documents.
• Familiarity with court filing procedures in both state and federal court.
• Understand the mechanics of e-filing with various courts and agencies.
• Open new files, request conflict of interest checks, and maintain client and business development files. Conduct periodic reviews for possible storage of older files; prepare files to be closed and assist with scanning, if necessary.
• Receive clients and visitors; maintain client and firm confidence by keeping client/attorney information confidential.
• Input attorney time and ensure that timesheets are completed within a timely manner; proofread time entries and reports, process and send out final bills.
• Assist with overflow projects or assignments, filing, photocopying, or reception relief as time permits and as requested by other attorneys or the Administrator.
Knowledge, Skills And Abilities Required:
• At least five years of on-the-job experience is necessary to gain a thorough understanding of procedures to produce accurate legal documents with minimal supervision.
• Computer proficient with working knowledge of MS Word, Outlook, Excel, and NetDocuments or similar document management systems required.
• Must be highly organized, and detail-oriented with the ability to multitask.
• Able to maneuver Court websites for e-filing.
• Ability to transcribe legal documents, correspondence, and reports from rough draft or dictation at a level of at least 70 wpm.
• Ability to maintain a professional relationship with attorneys/clients, and staff to ensure completion of tasks with ordinary comprehension, courtesy, and tact.
• Ability to travel locally to assist attorneys in attending to client needs on legal matters.
• Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, administrative abilities, and decision-making skills.
