Job Type: Officer of Administration Regular/Temporary: Temporary End Date if Temporary: 11/14/2025 Hours Per Week: 35 Salary Range: 70,000-75,000 The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary Assists manager in daily operations and supervision of Safety and Security Department which also includes custodial service, telephone network, and compliance with environmental regulations, building and fire codes. Assumes responsibility of manager in their absence, and is frequently required to represent Manager at committee and interdepartmental meetings. This is a Temporary position with the potential of becoming Regular. Responsibilities Safety and Environmental Management Systems: Maintains campus records required for presentation during regulatory audits by EPA, DEC, OSHA, DOH, NYS Fire Prevention Bureau, County and Town authorities. Schedules internal audits and inspections, generation of reports, and ongoing audit preparations to ensure state of compliance. Collaborates with EH&S to ensure compliance with University Safety and EMS policies. Maintains inventory of safety equipment, including Personal Protective Equipment (PPE), first aid, and other supplies for the Observatory. Coordinates internal safety inspections, maintains hazardous waste manifests, emergency contact information, and material safety data sheets for all Lamont laboratories. Implement and maintain the Chemtracker Chemical Inventory system and provide support and training as needed. Assists Manager in oversight, training and communications with all Lamont personnel in all safety maters. Fire Safety Systems Management: Oversees operation and maintenance of campus fire alarm systems, sprinkler systems, fire extinguishers, and kitchen exhaust and fire suppression systems. Coordinates campus inspections and fire drills with local fire chief, building inspector, and county emergency dispatchers (44 Control). Physical Security and Public Safety: Liaison to outsourced security guards, provides training and maintains procedures manual. Oversees operation and maintenance of security systems including locksets and keys, computer controlled lock systems, video cameras, guard watch station systems, vehicle parking tags, and gate access control system. Maintains inventory and control of security supplies, campus signage, and equipment. Coordinates with University Public Safety Department for emergency operations planning and training, security investigations, and implementation of University-wide policies and systems. Project and Program Management: Reviews performance and invoices for roughly 2 dozen necessary contractors, and authorizes Accounts Payable process to commence. Coordinates the Lamont Park & Ride Program on behalf of the University Sustainability Plan, interfacing with HR and University Facilities personnel to arrange for employee payroll deductions, maintain access control database, and construct access control facilities. Maintains CIMPL database system to track performance of critical facilities maintenance activities required for regulatory compliance. Currently training Facilities Managers to utilize CIMPL as a low cost preventative maintenance scheduling system. Assumed responsibility for maintaining Facilities Management web pages. system. Provides critical logistical support for Annual Open House event, arranging for remote parking operations, and procurement of critical vendors (buses, guards, cleaners). Other duties as assigned. Minimum Qualifications Bachelor degree or equivalent, plus two to four years related experience required. Various health, safety and environmental compliance certification required and must be maintained, such as annual 8 hour HAZWOPER, First Aid/CPR/AED, Chemical Safety, Lab Safety, Radiation Safety, Shop Safety, Hazardous Waste Management, Universal Waste Management, Radioactive Waste. Familiarity with office productivity (Word, Excel, Access, Power Point),proprietary systems software (such as access control, video camera, and alarm systems), and the University accounting and reporsting system (ARC.) Ability to analyze data and prepare reports. Excellent interpersonal, written and verbal communication skills required. Supervisory experience a plus.
