Job Description
Reports to the EVP/Head Cashier, is responsible for performing any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records. Performs entry level accounts payable functions in an automated system, work involves research, analysis, preparing, and processing of payment vouchers.
DUTIES
1. Comply with federal, state, and company policies, procedures and regulations.
2. Computes, analyzes, prepares and processes purchase vouchers to satisfy expenditure obligations.
3. Determines accuracy of vendor's invoice and appropriate coding for data entry.
4. Performs data entry of the voucher information into the electronic accounting system.
5. Track invoices to ensure all payments are made in compliance with state prompt pay guidelines.
6. Research, analyze, and coordinate payment discrepancies with vendors, program and budget department.
7. Respond to customer service inquiries, both verbally and in writing, concerning payment status.
8. Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
9. Operate computers programmed with accounting software to record, store, and analyze information.
10. Debit, credit, and total accounts on computer spreadsheets and databases, using specialized accounting software.
11. Code documents according to company procedures.
12. Access computerized financial information to answer general questions as well as those related to specific accounts.
13. Operate 10-key calculators, typewriters, and copy machines to perform calculations and produce documents.
14. Reconcile or note and report discrepancies found in records.
15. Perform general office duties such as filing, answering telephones, and handling routine correspondence.
16. Classify, record, and summarize numerical and financial data to compile and keep financial records, using journals and ledgers or computers.
17. Compile statistical, financial, accounting or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses.
It is expected that the incumbent shall perform other duties as assigned within their capabilities as determined by management.
QUALIFICATIONS
Knowledge of accounting principles and procedures as they apply to the processing of accounts payable documents;
Ability to use a personal computer to research, track and enter accounting information;
Ability to perform financial analysis; to interpret statutes; and to analyze, evaluate and summarize financial records for accuracy and conformity to procedures, policies and rules;
Ability to prepare clear and concise correspondence regarding accounting transactions;
Ability to effectively communicate with customers;
Ability to work independently or in a team environment;
Ability to handle multiple projects and meet demanding deadlines;
Strong organizational skills with aptitude for detail;
Ability to work overtime as required to meet agency deadlines and goals;
EDUCATION AND EXPERIENCE REQUIREMENTS:
Graduation with major course work in accounting degree from a U.S. accredited college or university preferred. Related work experience may substitute for education on a year for year basis. Experience in Bookkeeping and accounting processes required.
