Accounting Position Overview: We are seeking an experienced and detail-oriented Administrative Assistant to join our dynamic team. This is a fantastic opportunity to showcase your organizational prowess and contribute to the success of a global property management firm.
Key Accounting Responsibilities:
Maintain meticulous tenant, vendor, and property files, ensuring compliance with company guidelines.
Collaborate with Building Technician staff and vendors to compile and track maintenance items.
Foster and manage strong tenant and vendor relationships, handling inquiries professionally and efficiently.
Open work orders and coordinate with vendors to monitor and ensure timely completion.
Assist with the preparation of Common Area Maintenance (CAM) dues, invoices, and related correspondence.
Coordinate accounts payable and accounts receivable processes seamlessly.
Code invoices for payment, enter them into the accounting system, and forward original invoices for processing.
Maintain detailed files, create comprehensive spreadsheets, track data in Excel, generate insightful reports, and assist with budget creation while adhering to accounting principles.
Accounting Qualifications:
Strong A/R and A/P skills with solid CAM experience.
Real Estate License (or ability to obtain one within 6 months).
Minimum of three years’ experience as an Accounting Assistant or Assistant Manager in a commercial setting.
Superior organizational skills with an eye for detail.
Proficiency in computer literacy; fluency in Excel is essential.
Yardi experience is highly desired.
Exceptional ability to comprehend, write, and interpret instructions, reports, correspondence, and memos.
Tech-savvy with the capability to ask clarifying questions to ensure understanding.
