Job Summary
The Accounting Clerk is responsible for providing financial, administrative and clerical services in order to ensure effective, efficient and accurate financial and administrative operations. The Accounting Clerk must comply with the Generally Accepted Accounting Principles for Cherokee Indian Hospital Authority and personnel policies and procedures. This includes booking travel arrangements for hospital employees, monitoring payments and expenditures, monitoring credit card expenses, and making daily deposits. Providing these services in an effective and efficient manner will ensure that internal controls are being followed and payments are made in a timely manner.
Job Description
Provide administrative support in order to ensure effective and efficient office operations:
- Book travel and conferences for CIHA employees in compliance with our policies and procedures.
- Prepare travel reimbursement forms and compile backup, obtain needed approval for the forms.
- Reconcile travel receipts to travel advances.
- Enter PO’s, reimbursements and invoices for payment.
- Verify that transactions comply with financial policies and procedures.
- Perform Sanction Checks.
- Verifies new vendor’s W-9s.
- Checks out credit card and enters purchases in accordance with CIHA policies and procedures.
- Help in the preparation of reports as required.
- Assist in gathering information for the annual audit.
- Maintain a filing system for all financial documents.
- Review Accounts Payable Que and Invoices to ensure they are entered timely.
- Ensure the confidentiality and security of all financial and employee files.
- Perform other related duties as required
Education/Experience
- Associates Degree in a business field is required. The equivalent combination of education, related experience and training may be considered in lieu of formal education.
- Must have at least two (2) years of recent and successful employment experience within an office administration environment with exposure to financial processes and procedures.

- Knowledge of the CIHA Personnel Policies and Procedures

- Effective verbal and listening, communication, organizational, and computer skills including the ability to operate computerized accounting, spreadsheet and word processing programs, and email at a highly proficient level
- Superior financial calculation understanding, knowledge and skills
- Ability to work well with other managers from a wide range of department areas
- Ability to work flexible hours as required
- Must possess a valid driver’s license, access to a vehicle, and be willing to travel
Proficiency in the use of computer programs for:
- Word processing – MS Word, Power Point, Publisher
- Databases
- Spreadsheets – MS Excel
- E-mail - MS Outlook
- Sage – Finance module experience would be an asset
Environment
Accounting Clerk works in an office environment. Accounting Clerk works a standard work week of 40 hours per week; however, the ability to work flexible hours may be required. The position may require working some overtime hours to attend meetings and during specific periods of the Finance Department Peak Cycle Periods such as the Annual Audit, Budget Preparations, and Quarterly Reporting.
Mental/Visual/Physical
Close attention to detail and mental concentration for extended periods of time are required with systems problems and applications. Subject to frequent interruptions requiring varied responses. Must deal with multiple situations concurrently. Physical efforts require mobility, reaching, bending, manual dexterity, and visual acuity. May occasionally move more than 15 pounds.
