Position Summary:

The Accounting Specialist, under the direction of the Accounting Manager is responsible for timely and accurate delivery of accounts payable and accounts receivable services daily. This position works with Tides Advocacy staff, and preparing month-end journal entries, month-end close, and manage of the AP/AR inbox.

The Accounting Specialist is an exempt position.

Essential Duties and Responsibilities:

  • Process all Accounts Payable transactions including obtaining appropriate documentation, verifying coding, data entry, processing outgoing wires, ACH, and checks for expedites, weekly check runs, grant payments, banking verification where needed, and making payments according to the schedule / deadlines set by the Accounting Manager
  • Ensure all documentation is received for new vendors.
  • Communicate with others to follow up on missing vendor documentation or coding.
  • Respond to AP/AR requests from internal staff and external clients in a timely manner.
  • Prepare journal entries assigned.
  • Assist with month end close duties when assigned.
  • Assist with year-end 1099s.
  • Assist in external Audits and 990, pulling samples.
  • Assist in internal audits and follow up where needed.
  • Participate in the implementation and improvement of workflows, including new software implementations, that facilitate efficient operation and financial management of the organization.
  • Attend all staff, finance department, accounts payable and other working group meetings via zoom.
  • Attend occasional meetings in person (at least once a year for all staff retreat) or possibly quarterly.
  • Support finance department goals with individual goals.
  • Cross train on in other areas of finance, for example:
    1. Process all incoming checks, wires, ACH, and securities including verifying coding, depositing and data entry.
  • Other duties, or projects, as assigned.
  • Work collaboratively with all members on the finance team.

Knowledge, Skills and Abilities:

  • Strong motivation and ability to simultaneously manage multiple tasks and assignments within a fast-paced and deadline-oriented environment.
  • Ability to identify, analyze and solve problems of accounting related issues.
  • Demonstrates ability to engage in a direct and truthful manner; ability to present accurate and appropriate information.
  • Strong verbal and written communications skills with the ability to work collaboratively with internal staff and external clients.
  • Proficiency with MS Office and NetSuite preferred.

Education and Experience:

  • Undergraduate degree in Accounting or Business Administration with an emphasis in accounting.
  • 1 to 2 years of experience in Accounts Receivable/Account Payable.
  • Non-profit accounting experience preferred.
